Logistics, Shipping & Fleet Coordinator

Role Overview

We are seeking a dedicated Logistics, Shipping & Fleet Coordinator to manage shipping quotations, vehicle maintenance, and related operational tasks at Exotic Colors by MAYSARi in Abu Dhabi. This role requires coordinating freight shipments, insurance, inventory rotation, vehicle upkeep, and vendor-managed services across multiple locations to ensure smooth logistics operations.

Key Duties

• Engage with freight and shipping companies to acquire quotations and book shipments, then submit approved shipping costs as bills in the company system.
• Coordinate with insurance providers to arrange shipment insurance and produce corresponding insurance bills.
• Monitor near-expiry items across stores and warehouses, facilitating timely rotation and removal with retail and warehouse teams.
• Manage submission of fuel expense claims for the company’s vehicles.
• Oversee pest control services for shops, warehouse, and office locations.
• Inspect company vehicles regularly, track their maintenance schedules, and flag any vehicles due for servicing or repairs.

Qualifications and Experience

• Diploma or Bachelor's degree in Logistics, Supply Chain Management, Business Administration, or a closely related discipline.
• Between 2 and 4 years of hands-on experience in freight and shipping coordination, logistics operations, or similar multi-tasking administrative roles.
• Preferred background includes experience in retail, FMCG, or trading companies with frequent import shipments either by sea or air.
• Prior involvement with fleet or facilities coordination, including vehicle servicing, fuel management, or vendor-supervised services like pest control is highly advantageous.
• Experience in the UAE market is preferred, with knowledge of local freight forwarders and insurance firms.

Skills and Certifications

• Proven experience soliciting freight quotes and organizing shipments via sea and air, with basic understanding of incoterms such as CPT and FOB.
• Familiarity with Zoho Inventory or Zoho Expenses, or equivalent accounting software, for billing purposes including shipping, insurance, and fuel.
• Possession of a valid UAE driving license to facilitate vehicle inspections and coordination with service centers.
• Strong organizational skills to simultaneously monitor shipments, insurance policies, inventory expiries, fuel cards, pest control schedules, and vehicle servicing dates.
• Certifications in freight forwarding or logistics are desirable but not mandatory.
