Role Overview

As a Junior Office Manager, you will support the smooth daily operations of our Berlin office alongside the Senior Office Manager, gradually taking on independent responsibility for recurring office tasks. It is more important to us that you are curious, reliable, well-organized, and proactive rather than having all knowledge and skills from day one.

Key Responsibilities

• Manage reception duties including welcoming visitors, handling phone calls, mail, packages, and deliveries.
• Monitor office supplies, prepare orders, and maintain an organized, inviting office environment.
• Assist with meetings, visits, employee onboarding and offboarding processes.
• Coordinate external service providers and schedule maintenance or repair appointments.
• Support ongoing improvements to office procedures and inventory management for efficiency.
• Contribute to office life by assisting with internal events and activities.
• Propose and organize informal social events such as after-work gatherings.
• Help with Office Feel Good Management including managing snacks, beverages, and employee gifts.

Required Qualifications and Attributes

• Reliable, structured, and meticulous work habits with the ability to prioritize and independently complete tasks from start to finish.
• Proactive mindset with foresight to identify tasks, act accordingly, and communicate early about any questions, delays, or challenges.
• Hands-on attitude, people-oriented, curious learner open to feedback.
• Excellent verbal and written German skills at minimum C1 level and good English skills at minimum B2 level.
• Strong organizational and communication skills.
• Ability to work in a structured, dependable, and increasingly independent manner.
• Proficiency with everyday digital tools and willingness to quickly learn new systems.
• Professional, friendly, and service-focused communication with employees, visitors, and external partners.

Preferred Qualifications

• Health certificate according to the Infection Protection Act (IfSG) – can be obtained upon successful hiring.
• Certification 43 – obtainable after hiring.
• First aid certification – to be acquired post-hiring.
• Experience with Google Workspace or Microsoft Office suite.
