About the Organisation
The Centre for Humanitarian Dialogue is a private diplomacy entity committed to humanity, neutrality, impartiality, and independence. The organisation works towards preventing, mitigating, and resolving armed conflicts through dialogue and mediation.
Role Overview
Based in Nairobi, Kenya, the Human Resources Associate will report to the Regional HR Manager. This role involves delivering daily HR support to employees, managers, and external consultants, helping to ensure a seamless and effective employee experience throughout the entire employment journey — from hiring and onboarding to learning and development initiatives.
Key Responsibilities
- Manage various stages of the employee lifecycle including onboarding, orientation, offboarding, and associated documentation and formalities.
- Provide primary HR administrative assistance to employees and address their queries.
- Handle contracts, amendments, certificates, and other HR documentation for employment and consultancy agreements.
- Facilitate processes related to work and residence permits and other legal formalities.
- Assist in recruitment activities by preparing and disseminating job descriptions and advertisements, coordinating interviews and tests, and maintaining communication with candidates to guarantee a positive hiring experience.
- Maintain recruitment data and produce relevant reports.
- Keep employee and consultant records precise and current within the HR information system (HRIS), ensuring compliance with data protection standards.
- Support payroll preparation handled from Geneva and manage variable pay data.
- Assist in salary allocations and associated HR procedures.
- Contribute to the performance appraisal process and communications.
- Collect and analyze learning and development needs; assist with planning, delivering training initiatives, and overseeing budgets.
- Help enhance HR processes, tools, and documentation towards greater standardization and efficiency.
- Support internal HR communications, audits, and validate consultant invoices ensuring alignment with policies and donor compliance.
- Provide additional administrative assistance for HR invoicing and other related tasks as required.
Qualifications and Skills
- One to three years of experience in human resources administration or a related support position, ideally within international or multicultural environments.
- University degree or professional certification in Human Resources, Business Administration, or a relevant discipline.
- Strong understanding of HR procedures and eagerness to deepen HR expertise.
- Familiarity with HR information systems; prior use of Hubdrive is advantageous.
- Proficient in Microsoft Office applications, especially Excel.
- Fluency in both English and French, with strong written and oral communication skills.
- Excellent organizational capabilities, meticulous attention to detail, and capacity to juggle various priorities and meet deadlines.
- Service-focused and cooperative mindset complemented by effective interpersonal skills.
- Ability to exercise discretion and prudent judgment when dealing with sensitive or confidential data.
- Cultural awareness and capability to work effectively with diverse colleagues.
