Job Overview
The HR Admin Executive position involves managing various human resource functions specifically tailored to security personnel, including recruitment, onboarding, deployment, and compliance management within client sites.
Key Responsibilities
- Manage recruitment and selection processes for Security Guards, Supervisors, Security Officers, and other staff.
- Coordinate all employee onboarding activities including joining formalities, documentation, and verification.
- Maintain comprehensive employee records, attendance logs, personal files, and deployment schedules.
- Oversee security guard deployment to different client locations based on manpower needs.
- Monitor and track attendance, leaves, late arrivals, absenteeism, and availability of security staff.
- Liaise regularly with site supervisors and clients to address manpower-related concerns.
- Handle employee grievances, enforce disciplinary actions, issue warnings, and manage performance-related challenges.
- Coordinate with the Accounts or Payroll team to ensure accurate processing of salaries, overtime, deductions, and attendance inputs.
- Ensure compliance and proper documentation aligned with Provident Fund (PF), Employee State Insurance Corporation (ESIC), labor laws, and other statutory requirements.
- Prepare HR-related correspondence including appointment letters, warnings, experience letters, relieving letters, and salary communications.
- Maintain inventory and records of employee identification cards, uniforms, licenses, and other company-provided equipment.
- Support employee retention initiatives and manage timely replacement of guards in events of absenteeism or turnover.
- Maintain ongoing communication with deployed personnel to resolve operational and administrative HR issues.
- Generate HR reports capturing manpower statistics, recruitment status, attendance patterns, attrition rates, and deployment updates.
