Job Overview
The Government Relations & Administration Manager plays a crucial role in overseeing administrative functions, managing travel logistics, and handling all government-related affairs for Aviagen's operations in Saudi Arabia. This position ensures compliance with local labor and immigration laws, facilitates smooth office management, and acts as a liaison between the company and government entities.
Key Responsibilities
- Organize all aspects of travel bookings including flights, accommodation, visas, car rentals, and transfers, while negotiating annual hotel contracts.
- Develop and issue invitation letters and assist in visa procedures for employees and visitors.
- Manage the travel approval process and provide necessary training on travel policies and security for new hires.
- Coordinate event logistics such as venues, meeting rooms, equipment, participant lists, catering, gifts, transportation, and communications with stakeholders.
- Deliver administrative support including document preparation, filing, correspondence, and office coordination.
- Handle employee visa and work permit tasks such as issuing, renewing, transferring, and canceling residency permits; monitor expiration and ensure timely renewals; manage exit and re-entry visa processes.
- Maintain accurate records on government platforms including Absher, Qiwa, Muqeem, GOSI, Mudad, Chamber of Commerce, and Ministry of Labor portals to guarantee compliance.
- Ensure adherence to Saudi labor laws, immigration regulations, and Saudization mandates; prepare audit and inspection documents.
- Represent Aviagen effectively in interactions with Saudi government agencies including the Ministry of Human Resources & Social Development, Passport Office, Ministry of Interior, Chamber of Commerce, and municipalities.
- Provide guidance and support to employees on government procedures, assist departments with official employment documentation, and coordinate onboarding and offboarding involving government approvals.
Qualifications and Experience
- Diploma or Bachelor's degree in Business Administration, Human Resources, Public Administration, or related areas.
- Between 4 to 7 years of demonstrated experience in government relations within Saudi Arabia, preferably with multinational companies.
- Extensive experience using Saudi e-government systems and platforms.
Skills and Personal Attributes
- Skilled in reporting, analyzing financial and operational data, and generating reports.
- Strong written and verbal communication skills to collaborate effectively across various levels.
- Problem-solving aptitude with a focus on process improvement through performance evaluation.
- Able to work well in multicultural environments, managing multiple tasks with strong attention to detail and accuracy.
- Comprehensive knowledge of Saudi labor laws, immigration policies, Saudization, and government e-platforms.
- Excellent organizational and coordination capabilities with proficiency in Arabic and English languages.
- Discretion in handling confidential information with professionalism and integrity.
- Customer-focused approach, resilience under pressure, and professionalism in interpersonal relationships.
- Proactive, dependable, and dedicated to service excellence.
- Experience in managing government relations and facility coordination is advantageous.
