Overview

The Gallery Associate plays a key role in daily operations, sales, artist relations, and administration within the gallery. This client-facing position demands excellent communication, strong organization, and a polished professional demeanor consistent with the gallery's brand and market position. The ideal candidate is personable, proactive, and highly motivated to contribute to the gallery's success.

Key Responsibilities

  • Enhance sales and nurture long-term collector relationships locally in Doha and internationally by offering superior client service, mastering regional and global design trends, using POS systems accurately, and assisting with sales reporting and logistics.
  • Warmly welcome and assist collectors, advisors, designers, and walk-in guests, ensuring professional engagement in person and through written communications.
  • Confidently present artworks while keeping detailed client records updated in the CRM system; prepare invoices, consignment agreements, and relevant sales documents.
  • Coordinate logistics for shipping, framing, and installation, and support sales efforts during exhibitions and art fairs.
  • Follow up promptly with prospective collectors and maintain comprehensive records of sales activities and inquiries.
  • Support exhibition and commercial curatorial activities, including inventory control, merchandising, artwork handling, and logistics to the highest standards.
  • Assist with exhibition planning and execution, condition reporting, checklist preparation, wall labeling, and updating inventory.
  • Participate in installation and deinstallation of exhibitions, ensuring artworks are handled safely and professionally.
  • Maintain a clean, organized, and presentation-ready gallery space at all times.
  • Provide detailed and accurate artwork and inventory records throughout exhibitions and gallery cycles.
  • Deliver meticulous administrative and POS support such as sales reconciliation, reporting, correspondence, record keeping, and payment tracking.
  • Keep artist files, consignor agreements, and contracts orderly in both digital and physical formats.
  • Manage office operations, including supplies and organizational tasks efficiently.
  • Support marketing by creating and scheduling social media content, updating website inventory and exhibition pages, coordinating artwork photography, and ensuring brand-aligned marketing materials.
  • Maintain professional communications and coordination with artists, designers, vendors, and logistics agents locally and internationally.
  • Prepare timely artist reports and sales summaries, coordinate shipments, payments, and inventory documentation with relevant stakeholders.

Measures of Success

  • Accurate POS transactions and timely reconciliation.
  • Consistently updated CRM data, error-free sales documentation, and prompt client follow-ups.
  • On-schedule, damage-free exhibition installations, and proper gallery presentation at all times.
  • Organized administrative files, minimal documentation errors, and accurate tracking of outstanding payments.
  • Consistent social media activity and professional marketing material distribution.
  • Efficient artist and vendor coordination resulting in timely payments, shipments, and professional communications.

Qualifications

  • Bachelor’s degree in Art History, Fine Arts, Arts Administration or related discipline preferred.
  • 1 to 3 years' experience in commercial galleries, luxury retail, auction houses, art advisory, or client-focused design showrooms is preferred.
  • Flexibility to work evenings and weekends for exhibition openings, VIP previews, art fairs, and special events.
  • Availability for installation and deinstallation periods.
  • Experience in sales support or hospitality within upscale environments is advantageous.
  • Knowledge of Middle East art and design market and awareness of contemporary local and international trends preferred.
  • Proven ability to build and maintain positive client relationships.
  • Capable of working both independently and collaboratively with minimal supervision.
  • Strong judgement, initiative, and effective multi-tasking and time management skills.
  • Excellent verbal and written communication abilities.
  • Ability to lift up to 12 kilograms.
  • Fluent in English; Arabic language skills are a plus.
