About the Position
Located at INSEAD’s Asia Campus in the One-North district of Singapore, the on-site Residences facility offers 133 rooms primarily for short-term stays of Executive Education participants, Executive Degree students, and visiting staff and faculty. INSEAD is seeking a dedicated Front Desk Executive to become part of the Operations and Campus Services team. This full-time, permanent role is based entirely on-site and requires shift work.
Key Responsibilities
- Provide exceptional front desk service across both Main Reception and Residences Reception to ensure a welcoming, professional experience for all guests, visitors, and campus members.
- Manage all visitor registrations, access controls, and VIP parking arrangements according to INSEAD’s policies and standards.
- Handle incoming communication via email and telephone efficiently, directing queries to relevant teams.
- Ensure that reception and lobby areas are tidy, organized, and maintained according to INSEAD’s presentation standards.
- Oversee guest check-in and check-out procedures, ensuring accurate billing and payment processing.
- Conduct regular inspections of rooms and public spaces to uphold high hospitality standards.
- Coordinate transportation arrangements including taxis and manage issuance and tracking of room keycards.
- Work collaboratively with housekeeping and external service providers to guarantee smooth operational functioning.
- Maintain precise records and adhere strictly to safety, security, and operational protocols.
- Develop and maintain strong working relationships with internal clients and provide prompt support and updates as needed.
Candidate Requirements
- Minimum qualification of GCE ‘O’ Level or its equivalent; a Diploma in Hospitality, Hotel Management, Tourism, or related field is preferred.
- At least two years of experience in hospitality settings such as hotels, serviced residences, or travel agencies in client-facing roles.
- A strong customer service mindset with enthusiasm for delivering memorable guest experiences.
- Excellent communication, interpersonal, and telephone-handling skills.
- Proficiency in Microsoft Office; familiarity with Opera reservation systems is an advantage.
- Ability to maintain composure under pressure, with attention to detail and effective problem-solving skills.
- Flexible team player capable of working proactively and taking responsibility.
- Client-focus orientation with commitment to exceeding guest and client expectations efficiently and courteously.
- Collaboration skills to engage productively with colleagues and partners, fostering a supportive and solution-focused work environment.
- Willingness to work shifts including weekends and public holidays.
Work Schedule
The position requires working five days per week on a shift roster that includes one of the following shift timings:
- 7:00 AM to 4:00 PM
- 10:00 AM to 7:00 PM
- 11:00 AM to 8:00 PM
- 2:00 PM to 11:00 PM
