Role Overview

The organization is looking to hire an experienced Crew Scheduling Manager tasked with steering crew scheduling strategy, optimization of rosters, resource management, schedule accuracy, and crew availability. This role involves overseeing pilot and cabin crew schedules while maintaining adherence to flight-time restrictions, rest policies, company guidelines, collective bargaining agreements, training status, and operational limitations.

Key Responsibilities

  • Design and execute crew scheduling strategies aligned with flight operations, safety standards, and workforce goals.
  • Manage routine (daily, weekly, monthly, seasonal) crew scheduling processes.
  • Oversee rosters of pilots, cabin personnel, and other operational crew factions.
  • Translate operational flight schedules into effective crew assignments and rosters.
  • Guarantee sufficient crew coverage for scheduled flights, reserve duties, disruptions, and peak demands.
  • Monitor crew availability, qualifications, licenses, training calendar, leave, sickness, positioning, and other scheduling factors.
  • Ensure crew assignments meet all applicable duty-time, flight-hour, rest, and fatigue management policies.
  • Apply company labor contracts, regulatory guidelines, and policies to scheduling decisions.
  • Develop balanced rosters optimizing operational coverage, crew utilization, cost-efficiency, fairness, and employee wellbeing.
  • Collaborate with flight operations and control units on schedule updates and operational needs.
  • Handle crew scheduling issues amidst irregular operations such as delays, cancellations, diversions, and crew shortages.
  • Formulate recovery plans to reduce operational impacts from crew-related challenges.
  • Manage reserve and standby crew deployment to maintain robustness of operations.
  • Track open duties, uncovered flights, and exceptions in crew scheduling.
  • Detect potential crew shortages proactively before they disrupt flight schedules.
  • Manage crew swaps, repositioning, deadheading, and schedule modifications.
  • Ensure operational feasibility and cost-effectiveness in crew positioning.
  • Work with planning teams to consider crew impact on new routes, schedule changes, and aircraft usage.
  • Support seasonal and long-term crew resource forecasting and planning.
  • Analyze staffing demand against availability, qualifications, and operational forecasts.
  • Coordinate with training for inclusion of recurrent training, simulators, onboarding, and qualifications in rosters.
  • Collaborate with HR and crew management on staffing forecasts, leave plans, and workforce needs.
  • Monitor and mitigate fatigue risks arising from scheduling patterns.
  • Promote fatigue risk management and safety-focused scheduling practices.
  • Maintain accurate records of crew schedules, qualifications, and availability.
  • Ensure scheduling and crew management systems are updated and reliable.
  • Manage and improve crew scheduling software, rostering platforms, and optimization tools.
  • Support technology updates including system configurations, testing, and automation efforts.

  • In-depth understanding of flight-time limits, duty restrictions, rest rule compliance, and fatigue management.
  • Experience with crew scheduling and management IT systems.
  • Familiarity with flight schedules, rotations, crew pairings, positioning, and operational parameters.
  • Proficiency in managing live operational disruptions and crew recovery strategies.
  • Strong analytical thinking and problem-solving ability.
  • Excellent organizational and detail-oriented skills.
  • Capability to make quick decisions under operational pressure.
  • Proven experience managing scheduling teams and multi-stakeholder communication.
