Job description
Overview
The Facilities Coordinator supports the Facilities and Estates Manager in maintaining a safe, clean, and well-kept housing estate that is welcoming for residents. This role involves regular inspections, minor repairs, waste management, and ensuring security across communal areas of apartment buildings.
Key Responsibilities
- Oversee cleanliness in communal spaces such as entrances, stairwells, lifts, corridors, and shared facilities, ensuring cleaning supplies are stocked appropriately.
- Manage waste disposal points including bins and recycling stations, and address hygiene concerns alongside reporting any pest issues.
- Perform pre- and post-inspections of repairs within designated schemes and residential premises, focusing primarily on non-technical repairs.
- Conduct minor maintenance tasks like replacing light bulbs, tightening fittings, and unblocking drains, while reporting larger repair needs to the Repairs Team or external contractors.
- Inspect communal systems including lighting and heating daily, along with buildings, lifts, car parks, and grounds, identifying defects and coordinating their resolution.
- Ensure that access points such as doors, gates, and entry systems are secure and functioning correctly.
- Carry out routine safety checks for fire alarms, extinguishers, and emergency exits, while recording any incidents of vandalism or anti-social behavior.
- Maintain outdoor communal grounds including gardens and paths, clearing hazards like snow, ice, leaves, and litter to provide safe access and checking play equipment for safety compliance.
- Serve as the initial contact for residents concerning communal maintenance issues and effectively communicate with contractors and inspectors to facilitate maintenance operations.
- Document maintenance activities, safety verifications, and any incidents accurately, reporting potential health and safety risks and overseeing contractor adherence to site regulations.
- Coordinate grounds maintenance contracts, including any necessary gardening services such as grass cutting and pruning, using tools and equipment as required.
- Actively participate in workplace fire drills and uphold all health and safety policies in accordance with company and regulatory requirements.
Role Boundaries
The position is responsible solely for communal areas; all specialist repairs, such as plumbing and electrical work, are managed by qualified professionals.
