Job description
Position Overview
This role of Expeditor is based in Qatar at Gulf Drilling International's Head Office. The ideal candidate will bring 3 to 5 years of experience in expediting, logistics, inventory management, or procurement, preferably in sectors such as oil and gas, energy, mining, or heavy industry.
A bachelor's degree in supply chain management, logistics, or related fields is preferred, alongside strong familiarity with ERP software like SAP or Oracle, and standard MS Office tools. Experience in international logistics, freight forwarding, trade controls, and import/export documentation is a significant advantage. The role requires resilience and the ability to perform efficiently under pressure in both offshore and onshore environments supporting multiple concurrent operations.
Key Responsibilities
- Continuously monitor and track purchase orders, shipping schedules, and delivery timelines for materials, equipment, and services.
- Maintain active communication with vendors, suppliers, and internal teams to expedite critical supplies and resolve any delays promptly.
- Review and analyze supplier lead times and logistic plans to identify risks and proactively implement corrective measures.
- Collaborate closely with procurement and project teams to prioritize urgent project materials for both offshore and onshore operations.
- Keep precise and current expediting records within the ERP system, including purchase order statuses, shipment updates, and vendor communications.
- Serve as the main contact between the company and freight forwarders, ensuring all shipments adhere to contractual and operational guidelines.
- Conduct initial invoice checks for freight forwarders ensuring correct purchase order references, proper rate application, completeness of documents, and evidence of service delivery.
- Handle invoice corrections by returning invoices needing adjustments with clear comments and finalizing validated invoices through the company's invoicing portal.
- Monitor freight forwarder key performance indicators to ensure compliance and quality of service.
- Track shipment stages using freight forwarding systems and guarantee timely reporting and goods receipt note completion.
- Assist with logistics planning for inbound and outbound shipments, customs clearance, packaging, and deliveries across company locations.
- Address and resolve any shipment discrepancies such as shortages, damages, or documentation errors.
- Ensure all logistics and expediting activities comply fully with company policies, health, safety and environmental regulations, and contractual commitments.
- Maintain comprehensive dashboards monitoring delivery commitments and supply chain movements, ensuring adherence to contracts, schedules, and quality standards.
- Prepare regular reports on delivery performance, identifying delays, risks, and mitigation strategies for management.
- Participate in continuous improvement efforts including process optimization and cost-saving initiatives within the supply chain.
- Uphold a strong ethical standard in all expediting activities, including compliance with trade controls, legal and regulatory obligations, and corporate governance.
- Communicate contractual terms and implications clearly to relevant stakeholders to foster transparency and accountability.
