Role Responsibilities
- Provide administrative support across multiple departments, including tasks such as data entry, preparing documents, and organizing files.
- Coordinate meetings, conferences, and appointments efficiently.
- Assist in managing office inventory and supplies.
- Work jointly with the Talent Team to arrange seating plans for employees.
- Collaborate with messengers and runners for delivering documents and invoices to clients, vendors, and government agencies as needed.
- Follow up on talent-related tasks to ensure timely completion.
- Liaise with the finance team for invoice and purchase order management.
- Coordinate office maintenance and tasks with office support staff.
- Issue expense purchase orders and maintain invoice records.
- Prepare manual invoices when required.
- Create profiles for new expense vendors and clients in the system.
- Track and report office attendance and manage rotation schedules.
- Manage travel arrangements including booking flights, accommodations, transport, and visa documents.
- Prepare detailed travel itineraries and ensure all travel documentation is complete.
- Monitor, verify, and reconcile travel expenses to align with company policies.
- Maintain clear communication with clients, employees, and visitors, addressing inquiries and sharing information.
- Manage incoming and outgoing mail and packages efficiently.
- Assist with managing management calendars to optimize appointment and meeting scheduling.
Qualifications
- Previous experience in a similar operations or administrative role is preferred.
