Role Summary
This position supports the Senior Director who leads Sales and Operations, ensuring efficient management of daily activities. Key duties include managing a demanding calendar, organizing travel plans, handling communications, and keeping track of priorities and deadlines in a dynamic environment. The role demands more than administrative tasks, encompassing data collection, analysis, and preparation of summaries and presentations to aid informed decision-making.
Key Responsibilities
- Oversee the Senior Director's calendar, proactively resolving scheduling conflicts.
- Arrange and manage domestic and international travel logistics, including adapting to last-minute changes.
- Handle incoming and outgoing correspondence in a timely and organized manner.
- Monitor project progress, action items, and deadlines, providing status updates to the Senior Director.
- Prepare meeting agendas, document notes, and follow through on action items.
- Compile research, reports, and data related to campaigns and deals into concise summaries.
- Assist in crafting presentations and materials for meetings with creators, brand partners, and executives.
- Prepare and submit expense reports with appropriate documentation.
- Act as liaison amongst the Senior Director, internal teams, creators, brand partners, and external parties.
- Maintain confidential and organized systems for schedules, contacts, and documents.
Qualifications and Experience
- Minimum of five years experience as an Executive Assistant or in a similar capacity supporting senior leadership.
- Highly organized with excellent time management skills capable of juggling multiple priorities effectively.
- Meticulous attention to detail combined with strong analytical and problem-solving abilities.
- Superior written and verbal communication competencies.
- Proven sound judgment, discretion, and the ability to maintain confidentiality.
- Self-motivated and resourceful, capable of working independently with minimal oversight.
- Proficient in Google Workspace, Microsoft Office Suite, and various productivity and project management software.
- Adaptable to fast-changing, high-paced work environments.
- Experience within fields such as entertainment, media, talent management, or marketing considered an advantage.

Additional Details
