Job description
Position Overview
We are looking for a proactive, organized, and dependable Executive Assistant to support the Managing Director in a comprehensive manner. This role demands exceptional initiative, ownership, and execution abilities to manage priorities, ensure prompt follow-ups, and maintain seamless handling of both professional and personal commitments of the MD.
Experience and Qualifications
- 3 to 5 years of experience working as an Executive Assistant, Personal Assistant, or Secretary supporting a Managing Director, CEO, or senior executive.
- Proven capability in managing confidential information and providing support to senior leadership.
- Preference for candidates with a track record of stable, long-term employment.
- Graduation in any discipline is required.
- Additional certifications or diplomas in Secretarial Practice, Executive Assistance, or Business Administration are advantageous.
Key Competencies
- Exceptional ability to follow up rigorously on tasks, ensuring timely completion.
- Strong planning, coordination, and organizational skills.
- Proficiency in Microsoft Office tools, especially Excel and Word.
- Fluent written and verbal communication in English.
- Shorthand or rapid note-taking skills are desirable.
- High standards of integrity, confidentiality, and honesty.
- Capacity to manage multiple assignments under pressure effectively.
- Excellent interpersonal and communication skills.
- Self-driven, detail-focused, and able to work independently.
Primary Responsibilities
- Oversee and manage the MD's schedule, including appointments, meetings, and travel plans.
- Ensure timely follow-up on all commitments both internally and externally until they are fully addressed.
- Liaise effectively with various departments, clients, vendors, and stakeholders on behalf of the MD.
- Prepare reports, presentations, correspondence, and minutes from meetings.
- Maintain confidential records and documents securely.
- Filter incoming calls, emails, and visitors, prioritizing urgent matters.
- Support the MD with administrative and personal tasks as needed.
- Track deadlines vigilantly to ensure all action points meet agreed timelines.
Candidate Preferences
- Residency close enough to the office to commute within approximately 45 minutes to guarantee punctuality and availability.
- Willingness to accept a flexible work approach, addressing urgent or additional tasks outside routine assignments.
- Dependable, trustworthy, and dedicated to the MD's priorities.
- Professional demeanor with the ability to represent the office discreetly.
Compensation
Monthly remuneration ranges from Rs. 25,000 to Rs. 40,000, variable upon experience and fit.
