Role Overview
BZVISION is looking for a highly organized, proactive, and discreet Executive Assistant to provide comprehensive support to the Founder & CEO. This role involves managing the CEO's schedule, maintaining communication channels, coordinating meetings and travel, and overseeing day-to-day priorities. Collaboration with the COO and wider team is essential to ensure timely completion of key tasks. The executive assistant will introduce structure within a fast-paced creative setting, anticipate executive needs, protect their schedule, and manage responsibilities independently. The company values significant cultural awareness; hence, familiarity with entertainment and social trends is important.
Key Responsibilities
- Oversee and maintain the calendar, appointments, meetings, reminders, and shifting priorities for the Founder & CEO.
- Participate in meetings and production activities alongside the CEO or COO.
- Organize daily and weekly schedules and ensure the CEO is prepared for all engagements.
- Monitor emails, flag urgent matters, and draft professional correspondence when necessary.
- Prepare meeting agendas, briefing notes, presentations, reports, and other pertinent documents for the executive.
- Take precise meeting minutes and monitor decisions, deadlines, and action items.
- Follow up with team members, partners, and service providers to confirm deliverables.
- Coordinate communications amongst the Founder & CEO, COO, internal teams, and external stakeholders.
- Arrange local and international travel including flights, accommodation, transport, itinerary, and meetings.
- Support the organization and coordination of productions, screenings, meetings, industry events, and company activities.
- Maintain orderly digital files, contact lists, schedules, and confidential records.
- Track expenses, invoices, subscriptions, and administrative tasks related to the executive.
- Occasionally provide personal administrative assistance to enable the CEO's productivity.
- Handle confidential company, project, financial, and personal information with utmost discretion.
- Identify scheduling conflicts, upcoming deadlines, and unresolved issues proactively to prevent complications.
- Represent the Founder & CEO's office with warmth, professionalism, and sound judgment.
Qualifications & Skills
- Possess 2 to 4 years of experience in roles such as Executive Assistant, Personal Assistant, Administrative Coordinator, Project Coordinator, or similar.
- Hold a bachelor’s degree or have equivalent professional experience.
- Demonstrate excellent command of spoken and written English.
- Remain actively informed on social media and cultural trends.
- Exhibit strong skills managing calendars, emails, meetings, travel, and documentation.
- Proficient with Google Workspace applications: Gmail, Calendar, Docs, Sheets, and Drive.
- Highly organized with meticulous attention to detail.
- Capable of juggling multiple priorities and stay composed when changes occur.
- Excellent at professional communication and interpersonal interaction.
- Maintain high levels of discretion, integrity, and emotional intelligence.
- Work independently, anticipate needs, and approach problem-solving proactively.
- Strong follow-through and ability to hold others accountable diplomatically.
- Experience in entertainment, television, film, media, events, advertising, or creative industries is a plus.
- Familiarity with Canva and project management platforms is advantageous.
- Resides in Accra or able to commute reliably.
- Possesses reliable internet access and smartphone connectivity.

The role is based primarily in Accra and may require occasional flexibility beyond standard hours, especially during productions, travel, or significant events. The ideal candidate is organized, emotionally intelligent, and attentive to detail, excelling in anticipating needs, protecting time, communicating clearly, and executing responsibilities independently while thriving in a flexible, fast-moving creative setting.
