Job description
Role Overview
As the Executive Assistant to the CEO, you will deliver trusted, high-level support enabling the CEO to focus on strategic leadership and business growth. This position extends beyond typical administrative duties, placing you at the heart of the organization's activity with visibility of clients, personnel, commercial focuses, and strategic projects.
Key Responsibilities
- Manage the CEO's schedule and inbox, carefully balancing priorities to optimize time and minimize conflicts.
- Coordinate complex meetings and travel arrangements domestically and internationally, preparing detailed itineraries and ensuring logistical efficiency.
- Provide comprehensive support for meetings, including agenda preparation, attendance to capture actions, and rigorous follow-up to ensure commitments are met.
- Act as a dependable liaison between the CEO, C-suite executives, clients, partners, and other stakeholders by handling sensitive information with discretion.
- Support other senior executives as needed, principally with meetings and high-priority operations.
- Develop and improve administrative systems to enhance efficiency and reduce friction in executive operations.
Candidate Profile
- Proven experience as an Executive or Personal Assistant to senior leadership, preferably CEOs or Managing Directors.
- Exceptional diary and inbox management skills, emphasizing prioritization and sound judgment.
- Highly proactive, able to anticipate needs and resolve issues independently.
- Strong diplomatic communication skills, persistent follow-up abilities, and a calm demeanor under pressure.
- Excellent attention to detail and the ability to manage confidential information sensitively.
- Flexibility regarding working hours to accommodate shifting priorities, meetings, and travel demands.
Desirable Experience
- Background in agencies, consultancies, or fast-growth SMEs, especially within marketing, technology, or B2B environments.
- Competence in managing global schedules across multiple time zones.
- Experience supporting leadership and board meetings, including preparation and minute taking.
- Proficiency with Microsoft 365, Google Workspace, Teams, Slack, Zoom, and meeting note applications.
- Skills in coordinating projects and cross-functional initiatives with detailed action tracking.
- Capability to organize executive events such as off-sites, hospitality engagements, and conferences.
