Overview
This fully remote Executive Assistant position supports U.S.-based clients, requiring availability during U.S. Eastern Standard Time business hours (9:00 AM to 5:00 PM EST). Open to candidates based in Latin America, Africa, and Eastern Europe, the role demands serving as a vital strategic partner to senior leadership within a dynamic and fast-moving environment.
Key Responsibilities
- Manage intricate calendars and schedules for executive leaders while coordinating meetings across various stakeholders.
- Proactively resolve scheduling conflicts and prioritize competing requests effectively.
- Prepare agendas, capture meeting action items, and ensure timely execution of follow-ups.
- Arrange domestic travel logistics and itineraries as needed.
- Lead cross-departmental projects from inception to completion by monitoring timelines and ensuring deliverables are met.
- Engage with internal teams to foster accountability and resolve roadblocks, escalating issues when necessary and proposing practical solutions.
- Utilize project management tools such as Asana to track and report progress.
- Draft professional correspondence, presentations, and reports to support the executive’s strategic decision-making.
- Conduct research and prepare briefing materials.
- Maintain confidential documents and handle sensitive information discreetly.
- Act as a communication bridge between leadership and various departments to align and advance operational initiatives.
- Support special projects aimed at organizational process improvement to enhance efficiency and accountability.
Required Qualifications and Skills
- Three to five years of experience assisting senior executives, founders, or C-level leaders in roles involving executive assistance, project coordination, or operations.
- Proven ability to juggle multiple priorities in a fast-paced setting and coordinate cross-functional initiatives.
- Excellent command of written and spoken English.
- Strong organizational capabilities and superior time management skills.
- Expertise in project management and persistence in following through on tasks.
- Advanced skills using Microsoft Office Suite, Google Workspace, and project management platforms like Asana.
- Self-motivated with the capacity to independently prioritize and manage deadlines.
- Robust problem-solving and decision-making aptitude coupled with keen attention to detail within a strategic context.
- High levels of professionalism and discretion in managing confidential matters.

- All meetings, communications, travel plans, and follow-up tasks are handled accurately and promptly.
