Role Overview
The Executive Assistant position is a full-time role located onsite in Gwalior. The individual will deliver extensive administrative and executive support, including calendar management, meeting scheduling, travel coordination, and preparation of expense documentation. Daily tasks involve organizing documents and presentations, managing correspondence, record-keeping, and aiding the implementation of executive projects and initiatives. Collaboration with internal teams and external contacts ensures effective communication and timely follow-ups. This role also supports streamlining office functions and assists leadership in maintaining an organized and efficient workplace.
Key Responsibilities
- Manage executive calendars and coordinate meetings efficiently.
- Arrange business travel plans and accommodations.
- Prepare, compile, and submit expense reports and related budget documents.
- Organize and maintain documents, presentations, and official correspondence.
- Coordinate with internal departments and external stakeholders to ensure seamless communication.
- Support the execution of leadership initiatives and office procedures.
Candidate Qualifications
- Demonstrated skills in executive administrative support and prioritizing executive tasks.
- Proficient in general administrative assistance including filing, office coordination, and task management.
- Strong written and verbal communication aptitude to engage professionally with various stakeholders.
- Experience preparing expense reports and handling basic financial documentation.
- Educational background in Business Administration, Management, or similar fields preferred.
- Familiarity with MS Office Suite, email platforms, calendar tools, and aptitude for learning new software applications.
- Detail-oriented with discretion handling sensitive information and capable of multitasking in a dynamic environment.
Minimum education
Bachelor's Degree
