Role Mandate
As the Executive Assistant, you will serve as the primary support to the founders, acting as the operational backbone of the founder's office. Your responsibilities include managing the founders' schedules, inboxes, and following up on tasks to ensure they are always prepared, punctual, and focused on priority matters. This role requires a high degree of trust and discretion, with the need to anticipate needs and adapt to shifting priorities. You will be involved in key meetings and pitches, aid in projects driving organizational growth, and act as a liaison between founders and other teams. Collaboration with the Admin Manager will be essential to maintain smooth office, travel, and operational logistics.
Key Responsibilities
- Manage the founders' time by owning calendars, scheduling, and prioritizing competing demands to protect focus periods and ensure timely attendance at relevant events.
- Handle and prioritize the founders' inbox by triaging emails, drafting responses, and ensuring no important communication is overlooked.
- Coordinate comprehensive travel plans, meetings, and events including itinerary preparation, bookings, and logistics.
- Attend meetings and pitches to prepare materials, note decisions and action points, and ensure effective follow-ups.
- Serve as the main point of contact between the founders and internal teams, clients, and partners, coordinating closely with the Admin Manager to resolve issues and close communication loops.
- Support founder-level strategic projects by conducting research, preparing briefs and presentations, and helping progress initiatives from concept to execution.
Candidate Profile
- Between 1 to 3 years' experience as an executive assistant, founder’s office associate, operations support, or similar high-responsibility assistance role.
- Exceptional organizational skills, capable of handling multiple complex tasks calmly and efficiently.
- High level of discretion and trust, handling confidential information and executive decisions daily.
- Strong communication skills, able to express clearly, professionally, and warmly both in writing and verbally.
- Proactive attitude with ownership mentality, anticipating needs and acting without direct instruction.
- A postgraduate degree or MBA is mandatory.
- Demonstrated curiosity and understanding across various business functions including strategy, brand, commerce, operations, and people management.
Work Environment
This is an onsite role based in Mumbai requiring presence five days a week. You will have direct and frequent interaction with the founders, with key decisions typically made face-to-face rather than through extended digital communication.
