Excellence, foresight, and attention to detail are key characteristics for success.

Key Responsibilities

  • Manage intricate calendars, meeting schedules, and coordinate various appointments.
  • Develop polished presentations, reports, board materials, and executive communications.
  • Organise agendas, logistics, and follow-ups for leadership meetings.
  • Oversee shared inboxes and incoming requests to ensure timely responses.
  • Maintain confidential records and implement highly organised filing systems.
  • Arrange complex domestic and international travel plans.
  • Plan and coordinate company-wide events, leadership gatherings, team celebrations, and offsite activities, including managing venues, catering, and suppliers.
  • Support initiatives aimed at employee engagement and recognition.
  • Assist with onboarding new hires.
  • Manage day-to-day office operations, including supplies, equipment, vendor relationships, facility maintenance, and meeting room readiness.
  • Support strategic business projects through administrative assistance, action tracking, and coordination of follow-up tasks.

Candidate Profile

  • Highly organised with a proactive, solution-oriented mindset.
  • Capable of anticipating needs and managing multiple priorities effectively.
  • Comfortable collaborating with senior executives in a fast-paced setting.
  • Demonstrated experience in senior executive support roles, ideally with over five years.
  • Proficiency in creating executive-level presentations and documentation.
  • Exceptional organisational skills and attention to detail.
  • Excellent communication and stakeholder management abilities.
  • Experienced in coordinating travel, events, and meetings.
  • Maintains professionalism, discretion, and sound judgement.
  • Strong skills in Microsoft Outlook, PowerPoint, Word, and Excel.
  • Familiar with AI tools and agile in adopting new technologies for efficiency.
  • Adaptable and calm under shifting priorities.

Qualifications

A relevant qualification in Business Administration or related discipline is preferred.

Why Circuitwise?

  • Engage with a company that values responsibility, initiative, and ongoing improvement.
  • Gain exposure to strategic leadership and multi-business cooperation across Australia and New Zealand.
  • Participate in diverse work that has meaningful impact.
  • Operate centrally within an expanding trans-Tasman organisation.
