Role Responsibilities
- Provide executive support to the Managing Director (MD), including managing calendars by coordinating both internal and external meetings, prioritizing urgent requests, and handling scheduling conflicts.
- Oversee the MD’s inbox by monitoring communications and highlighting critical correspondences.
- Arrange logistics for leadership meetings, including quarterly sessions and offsite events; distribute agendas, document minutes, and ensure follow-up on action items.
- Prepare and distribute PowerPoint presentations for meetings.
- Manage expense tasks such as aligning Concur expenses for the MD, Operations Director, and Commercial Director, handling cash submissions, and reconciling credit card statements.
- Handle comprehensive travel arrangements covering flights, lodging, transport, parking, and transfers.
- Act as liaison between the DCBS department and other functions like HR, Legal, Finance, and IT to coordinate support.
- Organize and manage internal and external events, employee recognition programs, awards, and onboarding to cultivate a positive Business Unit culture.
- Collaborate with site administrators to promote monthly social activities across DCBS projects.
- Facilitate project team activities by assisting with document approvals from headquarters, including lease agreements and legal documents.
- Support cross-functional initiatives such as seasonal gift arrangements by compiling attendees and collecting necessary data.
- Provide general administrative support including preparing documents in Excel, PowerPoint, and Word; managing information flow for project teams; ordering office supplies; and overseeing desk allocations across projects.
- Undertake additional administrative tasks as needed.
- Maintain and update management holiday trackers for accurate team visibility.
Essential Qualifications and Skills
- At least five years of proven experience providing administrative assistance to senior management in a demanding office setting.
- Demonstrated capability in organizing and coordinating company events of varying scales.
- Proficient with Microsoft Office applications including Outlook, Excel, Word, PowerPoint, OneNote, and SharePoint.
- Strong verbal, written, and interpersonal communication skills.
- Excellent organizational abilities with the capacity to handle multiple responsibilities efficiently and meet deadlines.
- Confidence in professionally addressing inquiries directed at senior leadership.
- Self-motivated and able to work autonomously as well as collaboratively within a busy team environment.
- Effective time management and prioritization skills with minimal supervision.
- Exercise sound judgment, discretion, and maintain confidentiality in handling tasks.
- Adept at working efficiently in a fast-paced environment.
