Job description
Role Overview and Administrative Duties
The Executive Assistant will provide comprehensive administrative support to the Director, handling day-to-day office activities including maintaining files, managing confidential records, and preparing business correspondence, reports, and presentations.
Recruitment and HR Assistance
This role involves posting job openings on various platforms, screening candidates, scheduling and coordinating interviews, maintaining personnel files, and liaising with recruitment agencies as needed.
Coordination and Communication
Effective coordination with vendors, clients, government bodies, and internal teams is required to ensure timely task completion and smooth workflow. Regular updates must be provided to the Director regarding pending tasks and progress.
Scheduling and Calendar Management
The Executive Assistant manages the Director’s calendar, organizes meetings, appointments, business visits, travel plans, and coordinates virtual meetings and conference calls.
Financial and Utility Coordination
Responsibilities include overseeing payments and documentation related to GST, utilities such as electricity, internet, mobile services, rent, and maintaining relevant invoices and payment records. Collaboration with accountants and auditors is required when necessary.
Office Administration and Courier Management
Handling incoming and outgoing couriers, tracking shipments, managing office supplies, and maintaining administrative office systems also fall within this scope.
Supporting the Director
Providing personal and business-related assistance to the Director, managing confidential information with discretion, and functioning as the central liaison between the Director and external/internal stakeholders is essential.
Candidate Profile and Skills
The ideal candidate must have excellent communication and follow-up skills, strong organizational capabilities, proficiency in MS Office, Google Workspace, Excel, and skilled email management. Attention to detail and the ability to work independently while maintaining confidentiality are critical.
Experience
Preferred candidates will have between 1 and 5 years of experience in roles such as Administration, Executive Assistant, Office Coordination, or similar positions.
