Job description
Position Overview
We are looking for a meticulous and proactive Event Coordinator to oversee the planning, coordination, and successful execution of a wide range of events including corporate gatherings, promotional activities, social occasions, hospitality events, exhibitions, and special events. This role involves managing event timelines, venues, vendors, budgets, guest arrangements, materials, and onsite activities to guarantee a seamless and professional delivery.
The Event Coordinator will liaise extensively with clients, management, marketing teams, venues, suppliers, contractors, speakers, sponsors, and staff involved in events. The ideal candidate must demonstrate excellent organizational abilities, clear communication, fine attention to detail, and adeptness in handling multiple priorities in a dynamic environment.
Key Responsibilities
- Lead the coordination and execution of corporate events, conferences, exhibitions, product launches, promotional campaigns, private celebrations, and other special occasions.
- Support the creation of event concepts, themes, programs, detailed schedules, production plans, checklists, and operational needs.
- Engage with clients and internal teams to clarify event goals, requirements, budgets, audiences, and expected deliverables.
- Create and maintain event documentation such as briefs, production timelines, run sheets, guest and contact lists, floor plans, and supplier databases.
- Identify and secure appropriate venues considering capacity, location, facilities, accessibility, budgetary constraints, and technical specifications.
- Conduct venue inspections covering seating arrangements, registration points, stages, lighting, sound and AV systems, signage, decorations, and guest services.
- Coordinate and negotiate with caterers, decorators, audio-visual providers, photographers, videographers, entertainers, security, transportation, and printing vendors.
- Manage obtaining quotations, comparing supplier offers, negotiating terms, booking suppliers, and keeping accurate records.
- Monitor and control budgets, purchase orders, deposits, invoices, payments, and event expenses ensuring adherence to approved amounts.
- Organize invitations, registrations, RSVPs, attendee data, tickets, badges, seating charts, event collateral, and guest communications.
- Assist marketing efforts including email campaigns, social media promotion, digital content, print materials, and partner communications.
- Arrange logistical needs for VIP guests, speakers, sponsors, exhibitors, performers, media personnel, and key participants.
- Handle transportation, accommodation, catering, equipment, gifts, promotional items, and related logistics.
- Facilitate pre-event meetings and briefings to align teams, contractors, suppliers, and staff on responsibilities.
- Support all aspects of venue setup, registration, guest reception, stage management, technical coordination, program flow, and onsite execution.
- Keep event timelines on track by coordinating with speakers, hosts, suppliers, technical teams, and staff.
- Swiftly address unanticipated challenges such as supplier delays, technical difficulties, guest issues, schedule alterations, missing materials, and operational disruptions.
- Maintain professional communications with clients, guests, vendors, venues, sponsors, and stakeholders throughout event stages.
- Oversee event breakdown, equipment retrieval, supplier check-out, venue handover, and post-event logistics.
- Gather attendee and stakeholder feedback, preparing comprehensive post-event reports detailing attendance, costs, successes, challenges, and recommendations.
- Maintain organized records for suppliers, venues, contracts, quotations, budgets, guest info, event schedules, and archival materials.
- Manage multiple concurrent events while ensuring accurate deadlines, thorough documentation, clear communication, and effective follow-up.
- Stay informed about industry trends, new technologies, venues, entertainment options, suppliers, and innovative event formats.
- Contribute to adopting creative concepts, interactive experiences, digital solutions, and novel methods to enhance attendee engagement.
- Ensure compliance with company policies, venue rules, health and safety standards, security protocols, insurance mandates, and relevant regulations.
- Protect confidentiality of client data, guest lists, VIP details, budgets, contracts, commercial information, and other sensitive materials.
- Continuously identify improvements for planning workflows, supplier partnerships, cost-efficiency, event quality, and attendee satisfaction.
Candidate Requirements
- Diploma or degree in Event Management, Hospitality Management, Marketing, Communications, Public Relations, Business Administration, or a related discipline.
- Prior experience in event coordination, event management, hospitality, exhibitions, conferences, marketing, or similar functions.
- Exceptional organizational and project coordination abilities capable of juggling multiple deadlines, suppliers, stakeholders, and event demands.
- Outstanding written and oral communication skills with a client-focused, professional demeanor.
- Proven background managing venues, suppliers, contractors, event logistics, guest services, and onsite operations.
- Strong vendor negotiation and management competence, including gathering quotes and managing supplier contracts.
- Solid understanding of event planning fundamentals, production schedules, guest relations, venue management, and logistics.
- Effective problem-solving skills and capacity to remain composed and systematic under pressure.
- Proficient with Microsoft Office suite—Word, Excel, PowerPoint, Outlook.
- Familiarity with event registration platforms, CRM tools, project management software, digital marketing campaigns, or event management applications is advantageous.
- High attention to detail in handling schedules, guest data, contracts, budgets, invoices, and event files.
- Excellent interpersonal skills facilitating communication with clients, management, vendors, speakers, VIPs, sponsors, and attendees.
- Innovative and forward-thinking mindset able to propose new ideas for event themes, activities, attendee interaction, and marketing efforts.
- Collaborative team player with strong interpersonal skills to work cross-functionally.
- Independent and self-motivated with the ability to support a wider event/project team.
- Flexible to work outside regular hours including evenings, weekends, public holidays, and extended hours during major events.
- Willingness to travel to event locations or work onsite as required.
