Job description
Role Overview
The Event Coordinator is responsible for managing events from the initial inquiry stage through to planning, execution, billing, and post-event follow-up. This role requires hands-on involvement throughout the event lifecycle to ensure smooth operations and client satisfaction.
Primary Responsibilities
- Manage incoming event inquiries, conduct site visits, prepare quotations, and maintain client communications.
- Create comprehensive event plans, including function sheets and detailed operational briefs.
- Coordinate a variety of events such as conferences, weddings, corporate functions, team-building activities, and private gatherings.
- Ensure clear documentation and communication of all event needs to relevant internal departments.
- Oversee venue setup, catering arrangements, equipment coordination, décor, and other logistical requirements.
- Secure client payments and necessary documentation ahead of scheduled events.
- Keep precise event calendars and booking records up to date.
- Attend events in person to supervise execution.
- Conduct follow-ups post-event and gather client feedback for continuous improvement.
- Identify and pursue opportunities for repeat business and supplementary sales.
Qualifications and Experience
- Diploma or degree in Event Management, Hospitality, Marketing, Business, or related disciplines.
- A minimum of three years' experience in event coordination, preferably within the hospitality industry.
- Strong skills in planning, communication, and managing client relationships.
- Good commercial insight and capability to successfully handle multiple concurrent events.
- Willingness to work flexible hours, including weekends and public holidays as event schedules demand.
