Job description

Role Overview

The Event Coordinator is responsible for managing events from the initial inquiry stage through to planning, execution, billing, and post-event follow-up. This role requires hands-on involvement throughout the event lifecycle to ensure smooth operations and client satisfaction.

Primary Responsibilities

  • Manage incoming event inquiries, conduct site visits, prepare quotations, and maintain client communications.
  • Create comprehensive event plans, including function sheets and detailed operational briefs.
  • Coordinate a variety of events such as conferences, weddings, corporate functions, team-building activities, and private gatherings.
  • Ensure clear documentation and communication of all event needs to relevant internal departments.
  • Oversee venue setup, catering arrangements, equipment coordination, décor, and other logistical requirements.
  • Secure client payments and necessary documentation ahead of scheduled events.
  • Keep precise event calendars and booking records up to date.
  • Attend events in person to supervise execution.
  • Conduct follow-ups post-event and gather client feedback for continuous improvement.
  • Identify and pursue opportunities for repeat business and supplementary sales.

Qualifications and Experience

  • Diploma or degree in Event Management, Hospitality, Marketing, Business, or related disciplines.
  • A minimum of three years' experience in event coordination, preferably within the hospitality industry.
  • Strong skills in planning, communication, and managing client relationships.
  • Good commercial insight and capability to successfully handle multiple concurrent events.
  • Willingness to work flexible hours, including weekends and public holidays as event schedules demand.
