Job description

About Us

The Diversity Agenda is a renowned, industry-driven movement dedicated to enhancing diversity and inclusion within engineering and architecture sectors. Managed through a partnership among Te Ao Rangahau Engineering New Zealand, the Association of Consulting and Engineering New Zealand (ACE New Zealand), and Te Kāhui Whaihanga New Zealand Institute of Architects, the initiative aims to foster professions that reflect New Zealand's communities, honor Te Tiriti o Waitangi, and create safe, respected, and thriving workplaces. The team operates within ACE New Zealand on behalf of the collaboration.

Role Overview

This role offers more than typical support functions; it is an opportunity to actively contribute to advancing equitable change in professional fields striving for inclusivity. The Engagement and Operations Coordinator will provide administrative, project coordination, and communication assistance to the General Manager, ensuring effective engagement with partners and diverse firms.

Primary Responsibilities

  • Organize and manage communications and engagement efforts with firms, partners, and individual supporters involved in the Diversity Agenda.
  • Oversee the Diversity Agenda's email inbox, maintain accurate contact databases, and facilitate onboarding for new firms and partners joining the initiative.
  • Maintain and update the website using WordPress, including content publication and resource management to keep information current.
  • Compose, coordinate, and disseminate newsletters, social media, and email communications.
  • Support the arrangement and execution of meetings, both virtual and in-person, including the Annual Summit event.
  • Record meeting minutes and action items, provide performance and engagement metrics reporting.
  • Ensure efficient operation of systems, workflows, and records, leveraging AI and digital technologies to streamline routine tasks.

Candidate Profile

  • Strong dedication to promoting diversity, equity, and inclusion principles.
  • Ability to work autonomously while collaborating effectively within a small team.
  • Adaptable, resilient, and proactive in contributing to varied team needs.
  • Experience managing comprehensive meeting and event coordination, ideally including sizable conferences or summits.
  • Proficient in updating website content through WordPress or similar content management systems.
  • Familiarity with email marketing platforms such as Mailchimp, and database or CRM upkeep.
  • Capable of handling multiple deadlines and coordinating input from various contributors.
  • Exceptional writing skills focused on clarity and straightforward language.
  • Professional demeanor with sound judgment in managing sensitive information and relationships.
  • Interest in exploring innovative work approaches, including responsible deployment of AI tools.

Applicants are encouraged even if they do not meet all criteria but demonstrate most abilities and eagerness to learn.

Diversity and Inclusion Commitment

We aspire to build engineering and architecture sectors that mirror the diversity of Aotearoa New Zealand. Applications are welcomed from all communities, including tangata whenua, Pacific peoples, ethnic groups, disabled persons, takatāpui and rainbow communities, as well as individuals returning to the workforce or transitioning careers. Accommodations for recruitment participation are available upon request.

Benefits and Work Environment

  • Collaborative, supportive, and small team environment focused on meaningful impact.
  • Flexible work arrangements tailored to individual needs.
  • Five weeks of annual leave plus up to three additional organizational days.
  • Provision of a phone allowance.
  • Wellbeing support including pro-rated wellbeing benefits and access to confidential counseling services.
  • Opportunities to engage in partner-led value-based initiatives, such as neurodiversity advocacy, waiata, rainbow community support, and te reo Māori education.
