Work Location and Schedule
This role is based in Borden with a 4x3 work schedule.
Role Overview
The Document Controller is accountable for coordinating, implementing, and maintaining the organization's Document Control System. This includes tracking, gathering, recording, and distributing procedures in both electronic and paper formats. Archiving of documentation must be handled efficiently and accurately to ensure the integrity of company procedures. The role also involves coordinating labeling activities via change management to comply with standards and deadlines, strictly adhering to established procedures and policies.
Primary Duties
- Manage and coordinate all controlled documentation processes.
- Perform document control functions within a master control system.
- Coordinate Management of Change (MOC) meetings and associated activities.
- Manage ordering of external standards and maintain tracking systems.
- Support both internal and external audits by coordinating documentation requirements and timely compliance.
- Assist users with documentation requests and provide training for the Document Management system.
- Oversee change management of labeling and ensure accurate completion of labeling verification forms.
- Conduct self-audits to confirm that the latest document revisions are available promptly.
- Administer the training system and set up new users as required.
- Maintain quality records in accordance with relevant Standard Operating Procedures (SOPs).
- Investigate and respond to corrective actions related to document control and training standards.
- Coordinate document change orders, including facilitating review, approval, and retention of MOC documents and revised procedures.
- Carry out additional duties as assigned.
Qualifications and Skills
- Completion of secondary school is required; a diploma in Business Administration or related field is an advantage.
- Strong preference for candidates with proven experience in developing and implementing document control management systems.
- Between two to five years of document control experience is required.
- Experience in the mining industry is mandatory.
- Excellent communication (verbal and written), organizational, time management, and interpersonal skills.
- Ability to exercise judgment within broad policies when selecting approaches and criteria to achieve results.
