Overview
SEGULA Technologies is engaged in supporting a significant utility-scale energy infrastructure project in Uzbekistan. The project encompasses complex systems including Battery Energy Storage Systems (BESS), electrical substations, high-voltage networks, civil and mechanical works, automation and SCADA solutions, construction oversight, quality control, health and safety, logistics, and project management.
We seek a seasoned Document Controller to efficiently handle project documentation workflows within this multifaceted EPC environment, coordinating seamlessly with contractors, engineering teams, suppliers, and stakeholders.
Primary Responsibilities
- Set up, maintain, and manage the project's document control system ensuring robust traceability, secure access, and proper retention of records.
- Implement and oversee document numbering, naming standards, revision control, and management protocols.
- Operate electronic document management systems (EDMS) such as Aconex, SharePoint, or similar platforms.
- Coordinate document workflows, including review and approval processes across project teams, EPC contractors, original equipment manufacturers, suppliers, and subcontractors.
- Handle receipt, registration, classification, distribution, and archiving of both technical and administrative documentation.
- Manage a wide variety of documents including drawings, specifications, calculations, reports, RFIs, NCRs, correspondence, and transmittals.
- Ensure availability of the latest approved and Issued for Construction (IFC) documents only.
- Monitor review cycles, track approvals, respond to comments, and manage overdue action items.
- Oversee document transmittals, acknowledgements, status tracking, and distribution matrices.
- Control redline mark-ups and as-built documentation management.
- Prepare key performance indicators (KPIs) for document control and compile periodic status reports.
- Support internal and external audits related to documentation.
- Coordinate the collation of final handover documentation including as-built drawings, QA/QC dossiers, testing records, certificates, and operations and maintenance manuals.
Qualifications and Experience
- Bachelor’s degree in Engineering, Business Administration, Information Management, or a related discipline.
- At least 10 years of professional experience in document control for industrial projects, especially in power generation, transmission, renewable energy, or major EPC construction sectors.
- Proven track record managing documentation on major energy infrastructure projects; familiarity with Battery Energy Storage Systems, substations, or power plants is highly preferred.
- Advanced proficiency with EDMS platforms such as Aconex and SharePoint.
- Professional fluency in English is required.
Essential Skills
- Expertise in document control governance, revision and version management.
- Strong capabilities in managing transmittals, technical and engineering documentation, IFC/as-built controls, and records administration.
- Advanced use of Microsoft Office suite for documentation and reporting.
- Experience in reporting and stakeholder communication and coordination.
