About the Organisation

BYLOR, a joint venture between Bouygues Travaux Publics and Laing O'Rourke, is undertaking the main civil engineering works for the Hinkley Point C project valued at over £2.8 billion. Role Purpose

The Document Controller will handle all document control activities for BYLOR, assisting the Document Control Manager in implementing and maintaining the document control system effectively.

Responsibilities

  • Register, dispatch, file, and archive formal documents accurately.
  • Ensure compliance with document control requirements and assist in correcting deviations.
  • Provide training on document control processes and electronic document management system (EDMS) tools to BYLOR staff and Providers.
  • Implement system improvements directed by the Document Control Manager.
  • Serve as the primary contact for document control queries from internal teams and Providers as delegated.
  • Coordinate with Client's Document Control personnel on daily document control issues.
  • Report issues and suggest enhancements regarding templates, registers, and EDMS tools to the Document Control Manager.
  • Quality check documents before entry into the document control system and support corrections as needed.
  • Assign unique document numbers and ensure proper metadata allocation.
  • Manage EDMS workflows to maintain version control and handle reprographics requests.
  • Prepare document transmittals and confirm receipt acknowledgements.
  • File and archive documents following the Filing and Archive Plan to protect and preserve them while ensuring easy retrieval.
  • Assist other departments with filing, archiving, and maintaining Working Files as guided by the Document Control Manager.
  • Control access to master files and manage obsolete documents appropriately.
  • Prepare and provide regular reports such as weekly and monthly updates as requested.

Qualifications and Competencies

  • Previous administrative experience, preferably at least two years in similar document control functions (training available).
  • Strong understanding of document control principles with an aptitude for managing related processes proactively.
  • High attention to detail, meticulousness, and organizational skills.
  • Effective communication skills and ability to collaborate with staff, providers, and clients.
  • Proficiency in common software including Microsoft Word, Excel, and Adobe Acrobat Professional; training on EDMS provided.
  • Familiarity with large construction projects and relevant documentation is advantageous.

The position is primarily located at Hinkley Point C in Somerset, a region known for its picturesque countryside, coastline, and accessible transport links to Bristol, Exeter, and the M5 motorway.
