Job description

Role Overview

United Infrastructure seeks a Document Controller to join their Energy Team, supporting the Contracts Manager throughout various project lifecycle phases. This role focuses on managing project documentation, maintaining the Electronic Document Management system, and assisting with project reporting.

Core Responsibilities

  • Serve as a crucial bridge between project teams and other departments by providing assistance with document formatting, templates, and industry best practices.
  • Control document versions ensuring the most up-to-date versions are always accessible.
  • Communicate and coordinate with all levels within the project team and possibly external stakeholders, distributing project-related information securely and appropriately.
  • Oversee project document registers, document management systems, and the associated processes.
  • Manage and control the flow of project documents, including deliverables, technical queries, vendor or subcontractor documents, client records, commercial communications, and other related materials.
  • Provide accurate and current status updates regarding document flow as required.
  • Proactively monitor upcoming review and approval stages for documents based on planned timelines and client review cycles.
  • Ensure outgoing documentation is consistent, properly formatted, and appropriately numbered before transmission to clients.
  • Maintain electronic storage systems such as F Drive, SharePoint, or Client Common Data Environment (CDE), ensuring permanent availability or transfer of information prior to contract completion.
  • Assign document numbers following the United Infrastructure or client-specific numbering procedures.
  • Verify document details—including number, revision, status, title, date, pagination, headers/footers, templates, print settings, and signatures—before issuance.
  • Conduct training sessions for team members on document management systems and processes.
  • Prepare routine and ad-hoc project reports as required.

Candidate Requirements

  • Proven experience in a professional document control capacity.
  • Strong interpersonal skills with an ability to engage effectively at all organizational levels.
  • Proficiency with Microsoft Word, Excel, and Outlook.
  • Experience working with Electronic Document Management Systems, notably Aconex and SharePoint.
  • Excellent skills in liaising with various teams and resolving document-related issues.
  • Minimum of two years’ experience within the Oil and Gas Infrastructure sector.
  • Exceptional organizational and administrative abilities, particularly in managing document storage and registers.
  • Proactive and assertive in chasing and expediting document-related tasks.
