Role Overview
The Document Control Specialist will be instrumental in managing project documentation workflows and administration across the Middle East, primarily based in Riyadh. This role involves coordinating communication between project teams, design professionals, and regulatory agencies, ensuring compliance with project-specific and regional requirements. You will support multiple projects by maintaining orderly documentation protocols and facilitating efficient project delivery in a dynamic environment.
Key Responsibilities
- Establish and manage project document workflows, maintaining both paper and electronic files such as contracts, reports, drawings, and communications, adhering to standardized templates and formats.
- Assist project and construction management teams by preparing correspondence, flowcharts, meeting minutes, and other documentation.
- Collect, review, and consolidate statistical and general data to produce and enhance reports for internal and external stakeholders, collaborating with project managers.
- Accurately input and update project data in databases and document management systems.
- Manage document versions meticulously to ensure clarity and avoid confusion.
- Maintain and provide organized, serialized project documentation accessible to project managers at all times.
- Perform regular quality checks on documents to verify accuracy and completeness.
- Ensure all documentation complies with company policies, industry standards, site-specific, and legal regulations.
- Facilitate smooth communication by preparing correspondence, managing message flow, and using various communication methods effectively.
- Assist in contract management by coordinating legal reviews, securing insurance certificates, and confirming document control requirements within contracts across multiple sites and regions.
- Collaborate closely with colleagues and design teams to streamline document review processes and maintain template and drawing consistency.
- Support project leaders in developing accurate and well-prepared presentations as required.
Qualifications and Skills
- Bachelor’s degree in a relevant field with at least 5 years of experience in project-related document control and associated practices.
- Proficient user of MS Office suite (Word, Excel, Outlook) and experienced with document management tools such as Newforma Project Center, Aconex, BIM 360, and Adobe software or equivalents.
- Significant hands-on experience handling project documentation in the Middle East context.
- Excellent organizational aptitude and strong attention to detail coupled with fluent English communication skills, both written and verbal.
- Ability to work effectively both independently and as part of a team, managing multiple priorities and meeting deadlines consistently.
