Role overview

This freelance Creative Project Coordinator role supports the Creative Director and client accounts by keeping daily operations organized and moving. The coordinator acts as the central point for project activity, making sure work passes smoothly between the right people, is documented clearly, and reaches clients on time.

The role involves close collaboration with the Creative Director, external creatives, and internal teams to maintain steady communication, accurate records, and efficient delivery from initial brief to final completion. It also helps protect strong client relationships by keeping projects structured, precise, and professionally managed.

This is a fully remote position, so the person hired must be set up to work from home.

Responsibilities

  • Manage projects for several clients from kickoff through final delivery.
  • Stay in regular contact with clients, freelancers, and internal team members, sharing updates and progress reports.
  • Organize schedules and timelines so work stays on track.
  • Monitor projects, files, and client communication to ensure accuracy and stay within budget expectations.
  • Keep records well organized, including meeting notes and proof of asset delivery.
  • Spot possible delays or problems early, suggest fixes, and communicate issues proactively.
  • Coordinate with the Creative Director on priorities and client-facing communication.
  • Handle several active projects at once while maintaining accuracy and follow-through.
  • Help improve project systems, documentation, and workflow processes over time.

Requirements

  • Background in project coordination, design operations, and video production or video-related work.
  • Solid understanding of workflows, turnaround times, and project tracking in the tech or entertainment space.
  • Comfort using Microsoft Office tools, especially Excel, as well as Adobe Acrobat.
  • Exposure to project management platforms such as Monday and creative software from Adobe.
  • Strong written and verbal communication skills, along with excellent organization and close attention to detail.
  • Reliable, self-driven, and able to juggle multiple priorities in a fast-moving environment.
  • Availability to work reliably during standard PST business hours while coordinating with creative teams.

Additional information

This is a contractor/freelance role based in Montreal, Quebec, Canada, but it is remote. Applicants should include a preferred hourly rate along with a resume when applying.
