Job description

Overview

As a Business Systems Administrator at DKSR, you will be essential in keeping our digital workplace efficient and well-structured. Your focus will be on administering and evolving key collaboration and project management tools such as Microsoft 365, Jira, Confluence, GitLab, and Bitwarden, ensuring smooth daily operations for our teams involved in Smart City and public sector digitization projects.

Key Responsibilities

  • Administer and configure core systems including Microsoft 365/Teams, Jira, Confluence, ScriptRunner, Bitwarden, and GitLab, constantly improving the tool landscape.
  • Manage user access and permissions from onboarding to offboarding for employees, clients, and freelancers, maintaining security and clarity in roles and rights.
  • Provide structured support by investigating and resolving access, permission, and system issues, prioritizing requests effectively to aid colleagues.
  • Enhance workflows, documentations, and templates, as well as automate repetitive processes where beneficial.
  • Monitor software license usage and costs, assist with administrative tasks related to Microsoft 365, including support for ISO audits.
  • Facilitate onboarding for new staff with clear explanations of tools and technical processes to ensure rapid integration.

Qualifications and Skills

  • Approximately 2–3 years of hands-on experience in administering collaboration, business, or project management platforms.
  • Familiarity with tools like Microsoft 365, Jira, Confluence, ScriptRunner, Bitwarden, or GitLab; ability to quickly master new technologies independently.
  • Highly organized, proactive, and meticulous, especially in handling access rights and roles with care.
  • Analytical and problem-solving mindset focused on sustainable improvements rather than quick fixes.
  • Skilled in managing competing priorities and maintaining overview during multi-tasking scenarios.
  • Excellent teamwork and communication skills, including the ability to make technical information accessible to non-technical colleagues.
  • Fluency in German (minimum C1) and good command of English (B2–C1).

Additional Desired Experience

  • Experience with reporting and KPI tracking tools such as Excel or Jira.
  • Knowledge of workflow automation platforms like Jira Automation or Power Automate.
  • Expertise in process documentation and continuous improvement initiatives.
  • Previous experience in project-based work settings.
  • Basic scripting skills, for example with Groovy or PowerShell.
  • Familiarity with ISO audits or similar administrative and documentation requirements.
  • Interest in data, smart cities, and public sector digitalization.
