Role Overview
We are looking for a capable Business Support Officer to deliver operational assistance to our Operations leadership team and provide executive support to the General Manager of Operations. This pivotal role demands versatility and involves handling compliance, administration, coordination, and document management in a dynamic environment where priorities may shift rapidly. The ideal candidate must be highly organised, self-motivated, and exhibit sound judgement to juggle multiple demands effectively.
Main Duties
- Provide comprehensive executive assistance to the General Manager of Operations.
- Support the Operations leadership team with coordination of meetings, documenting accurate minutes, and following up on action items.
- Assist with compliance-related activities, ensuring records are maintained meticulously for audit readiness.
- Coordinate and schedule staff medical appointments, managing associated confidential documents.
- Help coordinate operational training activities.
- Produce and maintain high-quality documents consistently.
- Handle additional administrative tasks that arise, proactively addressing operational needs with initiative and efficiency.
Required Skills and Experience
- Proven background in business support, administration, or executive assistance, preferably within a demanding operational or 24/7 environment.
- Advanced skills in Microsoft Office 365 suite including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
- Excellent organisational and time management abilities, adept at multitasking and meeting deadlines.
- A proactive mindset with the confidence to recognize and advance tasks independently.
- Ability to maintain high accuracy and attention to detail even under pressure.
- Strong integrity and sound judgement with experience managing confidential information discreetly.
- Emotional intelligence and interpersonal skills to foster credibility and trust across various organisational levels.
- Outstanding verbal and written communication capabilities.
- A team-focused approach and willingness to assist colleagues as necessary.
