Overview
The Business Operations and Administration Manager will manage daily business functions and administrative tasks at the Company. This position ensures strict adherence to policies, maintains employee accountability, and oversees operational, human resources, payroll, and accounting processes.
Key Responsibilities
- Manage everyday administrative and business functions.
- Track employee attendance, punctuality, absences, leaves, and overtime.
- Ensure compliance with Company policies, procedures, and performance standards.
- Monitor completion of assigned tasks and management directives.
- Document and address employee conduct and performance issues.
- Organize staff meetings and follow up on operational matters.
- Maintain accurate employee records, contracts, and HR documents.
- Coordinate recruitment processes including interviews, onboarding, and probation evaluations.
- Prepare payroll data and validate entries such as overtime, commissions, and deductions.
- Manage employee leave requests and Company benefit programs.
- Oversee performance reviews and disciplinary procedures.
- Administer accounts receivable and payable routine operations.
- Ensure timely collection of outstanding customer payments.
- Supervise petty cash management with proper documentation and reconciliation.
- Liaise with accounting staff to maintain up-to-date financial records and reports.
- Supervise daily activities of Sales, Business Development, and Marketing teams.
- Monitor sales targets, pipelines, lead generation, quotations, and customer follow-ups.
- Encourage sales staff to actively seek and cultivate new business opportunities.
- Evaluate sales performance reports and take action on shortfalls.
- Oversee implementation of approved marketing strategies, campaigns, digital initiatives, promotions, and events.
- Develop and propose Company policies, procedures, and internal controls.
Qualifications
- Degree or comparable experience in Business Administration, Management, Human Resources, Accounting, or a related field.
- At least 5 years of pertinent experience, ideally with supervisory or managerial duties.
- Proven expertise in HR administration, payroll, and basic financial oversight.
- Strong skills in staff management and organizational coordination.
- Proficiency in Excel and general business software applications.
- Familiarity with Jamaican employment laws and payroll regulations.
