Role Overview
In the role of Bid Coordinator, you will oversee the entire bid and tender lifecycle, ensuring submissions meet client requirements and company goals. Collaborating with subject specialists, business development, and various stakeholders, you will collect, coordinate, and approve necessary inputs while managing deadlines and document versions.
Delivering high-quality, compliant, and timely proposals will be pivotal. You’ll also contribute to refining templates, content libraries, and the overall bidding workflow.
Key Responsibilities
- Manage the full bid and tender process from initiation through submission, maintaining accuracy and compliance.
- Organize timelines, milestones, and deliverable schedules for multiple active opportunities.
- Collaborate with internal experts and stakeholders to gather and validate content.
- Assist in drafting, editing, proofing, and formatting proposals, tenders, and expressions of interest.
- Analyze tender documents to ensure responses satisfy client needs, evaluation standards, and internal policies.
- Coordinate reviews and approvals, ensuring feedback incorporation into submissions.
- Keep meticulous records of documents and control version histories during bid management.
- Monitor tender portals to alert teams about new opportunities.
- Maintain detailed logs of bid activities, submissions, and outcomes.
- Support decision-making on bid/no-bid scenarios through opportunity summaries and risk assessments.
- Update and improve bid content repositories, templates, and standard responses.
- Support post-submission activities such as clarifications, presentations, and debriefings.
- Identify and implement process enhancements to boost bid quality, consistency, and efficiency.
- Ensure consistent branding, format, and professionalism across all tender documentation.
Candidate Profile
- Experience in sales or project coordination, administration, or stakeholder engagement; prior bid or tender coordination experience preferred but not mandatory.
- Ability to work cross-functionally, coordinating inputs and approvals among diverse teams.
- Facilitation skills to lead meetings, foster productive discussions, and maintain focus.
- Strong organizational skills with the ability to prioritize deadlines and manage competing tasks effectively.
- Proactive in following up and advancing tasks to completion.
- Excellent written and oral communication skills, including proofreading and document formatting.
- High attention to detail and commitment to quality work.
- Proficiency with Microsoft Office applications such as Outlook, Excel, and Word.
- A team-oriented, adaptable approach and genuine enthusiasm to grow a career in bid and tender management.
