About the Role

We are seeking a dynamic and dependable Administration Superstar to oversee daily office operations and ensure the smooth functioning of our bustling office environment. This is a permanent, full-time position requiring 37.5 hours per week on-site. You will deliver high-level executive and administrative support to the District Manager and serve as the primary organizational support for a team of approximately 40 healthcare professionals, including dietitians, social workers, health improvement practitioners, diabetes specialists, pharmacists, and nurses.

Every day offers new challenges and opportunities in this varied and fulfilling role. You will proactively manage priorities and equip the office and staff with the resources needed to perform effectively.

Key Responsibilities

  • Provide comprehensive executive assistance to the District Manager, including managing diaries, coordinating meetings, handling correspondence, and organizing documents and priorities.
  • Offer general administrative support across the entire office and healthcare team.
  • Operate the reception area as the welcoming first contact point for visitors, patients, and stakeholders.
  • Handle accounts and invoice coordination alongside supporting financial administration tasks.
  • Manage the company vehicle fleet including scheduling, maintenance, and compliance adherence.
  • Oversee building maintenance, coordinate contractors, manage supplies, and maintain office facilities.
  • Arrange meetings, events, and team-building activities.
  • Support health and safety administrative processes.
  • Coordinate staff onboarding and assist new team members throughout their integration.
  • Continuously seek opportunities to enhance systems, processes, and workplace efficiency.

Desired Skills and Experience

  • Familiarity with Microsoft Office suite and an aptitude for learning new software systems.
  • Minimum of three years’ experience in an administrative capacity.
  • Strong customer service background, including experience at reception and telephone management.
  • Extensive knowledge and practical skills in office administration.
  • Proactive work ethic with the ability to independently manage workload.
  • Excellent communication and interpersonal skills.
  • Exceptional organizational skills with capability to multitask efficiently.
  • Forward-thinking approach towards improving processes and procedures.
  • Ability to handle confidential information with discretion and maintain accuracy in all tasks.
  • Adaptable and flexible to changing work demands.
  • Possession of a valid full driver’s license and confidence in driving various vehicle types.
