About the Company
We are seeking an organized and experienced Administrative Assistant to join our team on a contract basis for one year in Doha, Qatar.
Role Overview
- Position is a one-year contract located in Qatar.
Key Responsibilities
- Offer administrative and coordination assistance to heads of departments and senior leaders.
- Handle calendars, meetings, appointments, travel plans, and other administrative necessities.
- Compose, review, and edit correspondence, reports, presentations, and business-related documents.
- Maintain precise, orderly, and confidential records and documentation.
- Manage office administration including supplies, equipment, and support services.
- Organize meeting logistics such as venues, setups, catering, technology, agendas, and necessary materials.
- Prepare and distribute meeting minutes promptly, tracking follow-up actions.
- Facilitate communication and collaboration across departments and with external stakeholders.
- Support event planning and coordination for workshops, meetings, and departmental activities.
- Coordinate event logistics including scheduling, venues, materials, and participant communication.
- Liaise with internal teams and external providers for smooth event execution.
- Gather, compile, and consolidate information for supporting reports and presentations.
- Help prepare reports, statements, presentations, and regular management updates.
- Ensure all documentation is accurate, consistent, confidential, and professionally presented.
- Adhere to organizational policies, procedures, and standard operating workflows.
- Contribute to improving administrative processes, aiming at better efficiency, productivity, service quality, and cost savings.
- Carry out other relevant tasks as delegated by management.
Qualifications and Experience
- Possess a High School Diploma or an equivalent qualification.
- Have at least three years of relevant experience in administration, executive assistance, office coordination, or related areas.
Required Skills
- Excellent organizational, planning, coordination, and time management capabilities.
- Strong verbal and written communication proficiency.
- Advanced skills in Microsoft Office applications including Outlook, Word, Excel, and PowerPoint.
- Expertise in documentation, reporting, records management, and administrative coordination.
- Ability to effectively handle multiple tasks, deadlines, and interact with diverse stakeholders.
- Strong aptitude for meeting organization, scheduling, event management, and logistical coordination.
