Job Overview

IMG seeks an Administrative Assistant to provide comprehensive administrative and operational support to the Saudi Arabia team, facilitating smooth office operations and assisting employees with daily administrative needs.

Key Responsibilities

  • Deliver day-to-day administrative assistance to management and the Saudi team.
  • Manage meetings, calendars, travel logistics, and prepare meeting agendas and minutes with follow-up actions.
  • Maintain accurate administrative records and support business correspondence.
  • Organize domestic and international travel arrangements including flights, accommodation, and transportation.
  • Oversee office operations such as supplies, meeting rooms, courier services, and document management.
  • Handle delivery and collection of official documents from banks and government bodies as needed.
  • Coordinate onboarding and offboarding processes, including workstation setup, office access, and equipment management.
  • Assist relocating employees with administrative and logistical support for their entry into the Kingdom.
  • Serve as the primary contact for office administration inquiries and liaise with external service providers.
  • Support production teams with administrative and logistical needs for live events and operational activities.
  • Provide on-site support during live productions and events as required.

Qualifications and Experience

  • Diploma or bachelor's degree in Business Administration, Office Administration, or related field.
  • 0 to 2 years’ experience in administrative or office support roles.
  • Native Arabic speaker with professional proficiency in English (both written and spoken).
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint).
  • Excellent organizational, communication, and time management skills.
  • Ability to maintain confidentiality and handle sensitive information discretely.
  • Strong attention to detail with the capacity to prioritize multiple tasks independently.
  • Fresh graduates are encouraged to apply.

  • Prior experience in office administration, facilities coordination, or customer service.
  • Valid Saudi driving license.

Working Conditions and Additional Information

  • Location: Riyadh, Saudi Arabia with working days Sunday through Thursday.

  • Occasional on-site presence at live events and possible work outside regular office hours.
