Role Overview

The Administrative Assistant functions as the essential frontline office representative, offering critical administrative support to both the Human Resources team and wider company operations. This position entails a broad spectrum of duties including reception management, facility and vendor coordination, recruitment assistance, onboarding facilitation, payroll paperwork, training support, and maintaining organized records, all aimed at streamlining employee experiences and administrative workflows.

Key Responsibilities

  • Handle front desk operations by directing phone inquiries, welcoming visitors, vendors, clients, and candidates, and delivering general company information.
  • Manage mail processes including both incoming and outgoing items, oversee courier and shipping arrangements, and maintain effective electronic and physical filing systems with timely document scanning and distribution.
  • Coordinate office and facility needs such as building services, cleaning, parking availability, access badges, keys, supplies, kitchen inventory, office equipment, and liaise with service providers to promptly resolve issues.
  • Administer vendor relationships by ordering office supplies and services, tracking deliveries, managing vendor communications, and assisting with invoice and expense processing adhering to organizational policies.
  • Provide administrative assistance to Human Resources by maintaining employee records, preparing required HR documentation, updating relevant trackers, supporting employee inquiries, and assisting with routine payroll-related paperwork.
  • Support payroll operations by organizing and verifying submission of payroll documentation, promptly escalating discrepancies to appropriate HR or payroll contacts.
  • Organize recruitment logistics including scheduling candidate interviews, arranging meeting spaces or virtual calls, preparing interview materials, and providing administrative backup throughout hiring procedures.
  • Assist with new employee onboarding and offboarding tasks such as coordinating access cards, devices, workstations, office access, required documentation, and other related processes.
  • Coordinate employee training activities, maintain training records, monitor upcoming training needs, facilitate registrations, send communications, and follow up to ensure course completion.
  • Support administrative requirements for employee travel and expense claims through documentation management, expense tracking, and related record keeping.
  • Assist with IT equipment coordination by supporting workstation setups, tracking computer resources, facilitating liaison with IT/helpdesk for technical troubleshooting and access requests.
  • Provide comprehensive administrative help to employees, HR, operations, and management teams by preparing documentation, maintaining spreadsheets, scheduling meetings, and managing local administrative necessities.
  • Contribute to company event organization, employee engagement initiatives, meetings, and office functions by coordinating supplies, attendance, vendor partnerships, venue logistics, and facility arrangements.
  • Ensure strict confidentiality and secure handling of sensitive employee, candidate, payroll, travel, finance, and other data.
  • Maintain administrative records and reports, proactively identifying opportunities for process improvements, resource optimization, and enhanced service delivery.
  • Perform additional administrative duties, projects, and tasks as required by management.

Qualifications and Skills

  • Preferred post-secondary education in Business Administration, Office Administration, Human Resources, or related disciplines.
  • Two to five years of experience in administrative roles, office coordination, reception, or HR support functions.
  • Experience providing support across multiple departments within a corporate setting considered advantageous.
  • Effective problem-solving and decision-making capabilities.
  • Ability to work autonomously while engaging collaboratively with colleagues, management, vendors, and external parties.
  • Proficient user of Microsoft Office applications including Word, Excel, Outlook, Teams, and PowerPoint.
  • Familiarity with HR management systems, payroll processes, SharePoint, and document management tools is a plus.
  • Strong organizational aptitude with exemplary time management skills and the capability to prioritize diverse tasks.
