Job Responsibilities
- Oversee and ensure the efficient running of daily administrative functions and office operations.
- Manage coordination of office-related facilities, including housekeeping, security, maintenance, and support services.
- Keep accurate records and maintain documentation such as office files, registers, and administrative paperwork.
- Liaise with suppliers and vendors for procurement, office supplies, services, and maintenance needs.
- Handle procurement processes for stationery, office consumables, and other administrative materials.
- Track inventory of office supplies to guarantee timely replenishment.
- Arrange travel, accommodation, transport, and logistics for staff and visitors as required.
- Manage scheduling and logistics for meetings, conferences, visitor management, and official events.
- Provide administrative support related to employee needs, such as ID cards, seating plans, transportation, and other amenities.
- Maintain and update records relating to Annual Maintenance Contracts (AMC), vendor agreements, licenses, and service contracts.
- Coordinate with other departments to fulfill administrative requests and promptly address daily operational issues.
- Supervise services related to housekeeping, security, pantry, transportation, and facility management.
- Ensure proper handling and filing of financial documents including bills, invoices, purchase orders, and vendor payments.
- Ensure adherence to company policies, safety standards, and administrative procedures.
- Compile reports, management information systems (MIS), and periodical updates for senior management.
- Assist HR and management in organizing employee events, meetings, and engagement activities.
- Maintain confidentiality and discretion when managing sensitive documentation and information.
- Identify cost-saving measures and improve administrative workflows and efficiency.
- Keep the office environment safe, clean, and professional at all times.
- Undertake any additional administrative tasks assigned by management.
Eligibility Criteria
Candidates with a Bachelor's degree in Arts or Commerce in any specialization are eligible to apply.
