Role Overview
We are seeking a proactive and organised Administration Assistant to join our Melbourne office. This varied and hands-on role involves supporting diverse business activities, from preparing reports and managing schedules to assisting recruitment and onboarding processes. Attention to detail and the ability to manage competing priorities are vital.
Key Responsibilities
- Provide administrative assistance to the CEO and Executive Management team.
- Coordinate diaries, arrange meetings, and manage scheduling tasks.
- Support onboarding and training for new employees.
- Regularly update and maintain internal documentation.
- Prepare detailed reports including Excel-based data analyses.
- Assist in drafting and revising company policies and internal documents.
- Handle email correspondence from internal teams and external contacts.
- Assume office management and various administrative duties.
- Assist in recruitment activities, including screening applications and conducting candidate interviews.
- Welcome candidates and provide office tours.
- Carry out reference checks and other recruitment-related admin tasks.
- Ensure confidentiality and accuracy in record keeping.
- Perform additional administrative tasks as needed.
Candidate Profile
- Highly organised with excellent time management and attention to detail.
- Strong communication skills, both written and verbal.
- Professional and confident interacting with colleagues, candidates, managers, and external parties.
- Ability to handle multiple tasks and shifting priorities effectively.
- Proficient in Microsoft Excel, especially with formulas and data handling.
- Experience preparing reports and working with datasets.
- Ability to manage sensitive information discreetly.
- Ownership-driven, proactive, and ready to complete assigned tasks.
- A positive and cooperative team player.
- Comfortable conducting initial candidate screenings and interviews.
