Role Overview
The Accounts Payable Officer is essential to the effective functioning of the finance department by fully managing the accounts payable process. Reporting to the New Zealand Finance Director and collaborating closely with the finance team, this permanent, full-time position located at the ACG schools head office in Mount Eden, Auckland, demands autonomy, task prioritization, and strong stakeholder relationship management.
Key Responsibilities
- Process daily supplier invoices with precision, assigning accurate General Ledger codes.
- Administer supplier data by setting up new supplier profiles and updating existing information.
- Coordinate weekly payments through EFT, BPAY, and foreign invoice runs, ensuring vendors are paid accurately and on time.
- Resolve supplier inquiries, discrepancies, and invoice issues promptly and professionally.
- Conduct supplier account reconciliations to verify the accuracy of accounts.
- Manage petty cash claims and monthly credit card reconciliations, adhering to internal policies.
- Support monthly General Ledger reconciliations and financial reporting activities as needed.
- Handle charges and credits related to school activities, maintaining alignment with student accounts.
- Work with the Finance Director to facilitate the implementation of a new purchase order system, aiding with testing, providing feedback, and training staff.
- Maintain confidentiality and professionalism when managing sensitive financial and personal data.
- Assist with internal and external audits by preparing documentation and addressing audit inquiries.
Candidate Profile
- Minimum of three years’ practical experience in accounts payable or similar finance roles, ideally within educational or not-for-profit sectors.
- Proficient with accounting software such as JDEdwards and skilled in Microsoft Office, especially Excel.
- Exceptional numerical accuracy and diligent data entry capabilities.
- Solid foundational knowledge of accounting principles.
- Capability to work effectively both independently and collaboratively.
- Strong problem-solving skills with a proactive approach to process and system improvements.
- Clear and effective communication skills for explaining financial matters.
- Professional customer service attitude with excellent interpersonal skills.
- Well-developed organizational skills to manage multiple priorities and meet deadlines.
