Scion Executive Search is seeking a highly skilled and adaptable Executive Assistant to support our sales team and executive leadership. This fully remote role is pivotal in optimizing operations, analyzing key data, and ensuring seamless execution of proposals, RFPs, and marketing deliverables. About the Role
Reporting directly to the Executive Director, this role provides essential support to our executive search and sales teams. You’ll work side by side with the sales team to produce high-quality proposals and RFPs on their behalf, ensuring accuracy, professionalism, and alignment with client needs. Additionally, you’ll oversee lead tracking, recruiter assignments, and job coordination, while leveraging data analysis and Excel proficiency to provide insights that drive informed decision-making. You will also assist with marketing materials and Canva-based design projects to enhance client-facing deliverables.
This full-time position is for immediate hire! While the role is fully remote, to be eligible for employment, you must reside (full-time) and work from one of our designated core states on the Central or East Coast, specifically: CT, DC, FL, IL, MN, NY, OH, TX, or WI.
Key Responsibilities
- Data Analysis & Reporting: Extract, analyze, and present key data to support executive search operations.
- Lead & Job Tracking: Maintain an organized system for tracking leads, assignments, and recruiter rotations.
- Proposal & RFP Support: Assist in drafting, editing, and managing proposals and RFP submissions.
- Marketing & Design Support: Use Canva for light design work, including social media graphics and client presentations.
- CRM & ATS Management: Update and manage data within our Bullhorn applicant tracking system (training provided).
- Contract Management: Upload and manage contract delivery through DocuSign.
- Operational Efficiency: Identify opportunities for process improvements and ensure seamless execution of team workflows.
- Meeting Coordination & Documentation: Schedule meetings, take notes, and manage follow-ups with clients and team members.
- Client & Internal Communication: Provide top-tier customer service, ensuring clear, professional interactions.
- Email Management: Utilize Outlook daily for communication and scheduling.
What You Bring
- Advanced Excel skills (pivot tables, VLOOKUP, automation, and data visualization).
- Proficiency in Canva (light design work for marketing and client deliverables).
- Ability to quickly learn and adapt to new technology platforms.
- Exceptional organization, attention to detail, and problem-solving skills.
- Strong written and verbal communication with a polished, professional presence.
- Self-motivated and able to work independently in a fully remote environment.
- Experience in sales support, operations, or marketing coordination preferred (executive search background not required).
