Job Summary:

We are seeking a highly organized and detail-oriented professional to join our team as a Bookkeeper & Executive Assistant. This dual-role position will involve maintaining accurate financial records and performing essential bookkeeping tasks, with a strong focus on QuickBooks proficiency. Additionally, the role will support senior leadership with administrative and operational needs. This is a dynamic role ideal for someone who thrives in a fast-paced environment and enjoys balancing financial and administrative responsibilities.

Key Responsibilities:

Bookkeeping Duties (Primary Role):

  • Maintain accurate financial records and ensure compliance with all relevant regulations.
  • Manage accounts payable and receivable, including invoice processing and payments.
  • Reconcile bank and credit card statements on a monthly basis.
  • Prepare financial reports, including profit and loss statements, balance sheets, and cash flow statements.
  • Process payroll and handle related tax filings.
  • Update and manage QuickBooks to ensure data accuracy and integrity.
  • Assist in budget preparation and financial forecasting.
  • Coordinate with external accountants during tax preparation or audits.

Executive Assistant Duties (Secondary Role):

  • Manage and prioritize the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Organize and deploy training sessions to ensure team competency.
  • Manage time-off requests from team members and ensure they are properly logged.
  • Regularly check in with team members to ensure their well-being and address any concerns.
  • Prepare meeting agendas, presentations, and correspondence as needed.
  • Serve as a point of contact between executives, team members, and external stakeholders.
  • Conduct research and compile data to support decision-making processes.
  • Oversee and manage office operations, including ordering supplies and coordinating vendor services.
  • Handle confidential information with discretion and professionalism.
  • Assist with special projects and tasks as assigned by leadership.

Qualifications:

  • Proven experience as a Bookkeeper with strong proficiency in QuickBooks (certification preferred).
  • Solid understanding of accounting principles and financial reporting.
  • Previous experience as an Executive Assistant or in a similar administrative role.
  • Excellent organizational and multitasking skills.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle sensitive information with confidentiality.
  • Exceptional communication skills, both written and verbal.
  • Ability to work independently and collaboratively in a team environment.
  • Detail-oriented with a commitment to accuracy and efficiency.

Preferred Qualifications:

  • Experience in bookkeeping and financial management.
  • Knowledge of QuickBooks and Deel.
  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
