Administrative Coordinator

Location: Erbil

Working days: 6 days / 8 hours

Industry: Pharmaceutical

Responsibilities:

  • Oversee day-to-day office operations to ensure smooth functioning.
  • Maintain records, files, and documentation in an organized and accessible manner.
  • Coordinate office supplies and inventory, ensuring stock levels are maintained.
  • Manage drivers and company vehicles.
  • Monitor attendance, leave records, and ensure compliance with company policies.
  • Support management in coordinating training sessions, performance reviews, and HR-related activities.
  • Accurately process and verify daily invoices.
  • Maintain proper documentation for invoicing and liaise with the finance department for timely payments.
  • Address discrepancies or issues with invoices in a timely manner.
  • Collect payments from sub-dealers accurately and on time.
  • Maintain and reconcile records of collected funds.
  • Safeguard and manage the office safe, ensuring proper handling and security of cash.
  • Prepare and submit daily, weekly, and monthly financial reports to the management.

Requirements:

  • Bachelor’s degree in Business Administration, or Finance.
  • Minimum of 3 years in administration, HR, or financial roles, ideally in a pharmaceutical or related industry.
  • Fluency in Kurdish, English, and Arabic.
  • Strong knowledge of office administration, HR processes, and financial recordkeeping.
  • Proficiency in MS Office Suite (Excel, Word, PowerPoint) and accounting software.
  • Excellent organizational, communication, and multitasking skills.
  • High level of integrity and confidentiality, particularly in handling financial transactions.
  • Ability to work independently and under pressure to meet deadlines.
