Administrative Coordinator
Location: Erbil
Working days: 6 days / 8 hours
Industry: Pharmaceutical
Responsibilities:
- Oversee day-to-day office operations to ensure smooth functioning.
- Maintain records, files, and documentation in an organized and accessible manner.
- Coordinate office supplies and inventory, ensuring stock levels are maintained.
- Manage drivers and company vehicles.
- Monitor attendance, leave records, and ensure compliance with company policies.
- Support management in coordinating training sessions, performance reviews, and HR-related activities.
- Accurately process and verify daily invoices.
- Maintain proper documentation for invoicing and liaise with the finance department for timely payments.
- Address discrepancies or issues with invoices in a timely manner.
- Collect payments from sub-dealers accurately and on time.
- Maintain and reconcile records of collected funds.
- Safeguard and manage the office safe, ensuring proper handling and security of cash.
- Prepare and submit daily, weekly, and monthly financial reports to the management.
Requirements:
- Bachelor’s degree in Business Administration, or Finance.
- Minimum of 3 years in administration, HR, or financial roles, ideally in a pharmaceutical or related industry.
- Fluency in Kurdish, English, and Arabic.
- Strong knowledge of office administration, HR processes, and financial recordkeeping.
- Proficiency in MS Office Suite (Excel, Word, PowerPoint) and accounting software.
- Excellent organizational, communication, and multitasking skills.
- High level of integrity and confidentiality, particularly in handling financial transactions.
- Ability to work independently and under pressure to meet deadlines.
