Key Responsibilities

• Assist the sales team with administrative tasks such as preparing quotes, processing orders, capturing sales activity data, and maintaining customer records.
• Coordinate and schedule meetings, demos, and vehicle test drives for prospective customers, if requested.
• Provide real-time support and resolve customer inquiries, ensuring timely and effective communication.
• Assist with vehicle deliveries; delivery/ collection of sales-related documentation and items (e.g. natis documents, number plates, spare keys etc.) where required.
• Learn and engage in the vehicle sales process.
• Ensure timely follow-ups with customers and other relevant stakeholders.
• Prepare invoices, purchase orders, and maintain updated records of sales agreements.
• Maintain accurate sales records, including customer contact details, deal files, order statuses, and sales performance info.
• Assist in preparing sales reports, forecasts, and presentations for management meetings, if requested.
• Monitor vehicle stock levels and communicate with internal stakeholder to ensure stock availability.
• Coordinate with internal departments (e.g., service, parts, F&I, admin) to ensure a smooth sales process, fitments and resolution of queries.
• Support sales team in ensuring the highest level of satisfaction throughout the sales process.
• Attend all training and remain up to date with new information pertaining to product, process or other, as required.

Requirements

Qualifications:

• Minimum of Grade 12/ Matric
• A 3-year diploma or degree Business, Sales, Marketing, or related field is preferred.
• Valid Driver’s License and safe driving record.
• Proficient in MS Office (Excel, Word, PowerPoint). Experience with CRM systems is a plus.

Knowledge & Experience

• 1+ years in a sales coordination or similar administrative role in the motor industry or related field.
• Sales / Retail / Business Development jobs
