Summary

NISC is seeking a talented executive assistant that is motivated, collaborative and detail-oriented. The Executive Support Assistant will be a member of the NISC legal team, providing executive support and administrative assistance to them and other NISC executives as needed, overseeing the organization of NISC’s legal files, and assisting with the preparation and execution of standard documents and filings. We are looking for an individual who is detail-oriented with superior multitasking and organizational skills and will thrive in a team environment, be committed to accomplishing a common goal and isn’t afraid to learn new things and have some fun along the way.?While preferred, no legal experience is required for this position.

Work Schedule

  • Hybrid (after an initial training period) from our Mandan, ND office
  • Hybrid Schedule: Minimum of 3 days per week in the office and ability to work up to 5 days a week in the office as needed
  • Monday-Friday hours between 7:00 am-6:00 pm

Essential Duties

  • Provide administrative assistance with executive level day-to-day operations, including scheduling and coordination of meetings, expense reporting, and other support as needed
  • Prepare, proofread and edit correspondence and standard business documents
  • Maintain and organize department files, standard templates and business records and serve as the contact for requests for department files
  • Assist with the completion and filing of corporate records, business filings and related materials
  • Work closely with attorneys to assist in preparation of standard legal and facilitate the signing of contracts with vendors, partners and members
  • Assist with preparation of Board documents as needed, serving as a backup to NISC CEO Executive Assistant and Board liaison
  • Handle confidential information with discretion and professionalism
  • Provide superior customer service to internal and external customers
  • Prepare, document and appropriately store minutes for related meetings
  • Other duties as assigned

Knowledge, Skills, and Abilities Preferred

  • 3+ years of related experience preferred
  • Moderate level knowledge of administration and operations of business environments
  • Possess an excellent ability to maintain strict confidentiality and maintain high professionalism
  • Strong verbal and written communication skills
  • Ability to work independently in managing moderate assignments
  • Strong telephone/email etiquette with an ability to interact in a positive manner with internal and external customers
  • Strong ability to multi-task and manage competing priorities
  • Strong ability to organize and prioritize
  • Excellent attention to detail
  • Moderate level knowledge of business-related software applications and services including Microsoft Office (Word, Excel, PowerPoint and SharePoint)
  • Strong ability to demonstrate initiative and accountability
  • Strong ability to set and manage internal and external customer expectations
  • Ability to travel to as often as necessary to meet the goals and objectives of the position

Preferred Education and Experience

  • Associate’s degree in Business, Communication, Liberal Arts, or equivalent experience
  • Bachelor’s degree preferred
