Applications are being accepted for the position of Assistant to the Athletics Administration. The assistant provides administrative support for the Director of Athletics and the department. They are responsible for the oversight of office and department procedures, management of all invoices and billing, and overseeing student-athlete data in the college’s database system.
Duties & Responsibilities
- Provides administrative support for the Director of Athletics.
- Ensures that the business and financial guidelines of the department are in full compliance with college policies.
- Manages the daily operations of the Athletic Department Office and provides customer service via face-to-face, telephone, and online interactions.
- Prepares and maintains student-athlete eligibility and participation reports for MWC and NCAA. Point person for athletics data for other campus offices.
- Prepares, monitors, reviews, and submits for processing expenditures, including vouchers, requisitions, and purchasing, from the corresponding budget lines.
- Assembles and reviews competition schedules and rosters from head coaches, formats information as needed, and distributes accurate information to appropriate offices. Works with the compliance officer to ensure schedules and rosters comply with internal and external policies and regulations.
- Assists the SID with updating related information on the website.
- Arranges team charter and rental vehicle transportation needs.
- Prepares contest agreements with opponents and contracts/checks for all officials.
- Recruits, trains, schedules, supervises, and evaluates student workers for main office and clerical work.
- Provides direct training, support, and onboarding for new coaching staff regarding office, department, and college policies and procedures.
- Other duties as assigned.

Qualifications And Education Requirements
Four-year degree preferred but not required. Three years of related experience is required.
Preferred Skills
High attention to detail, and speed and accuracy with data entry required. Basic office skills are required, including
computers and copy machines. Knowledge of website content management, database management, Word, Excel, etc. Customer Service and the ability to effectively communicate and interact professionally in a variety of situations (in person and on the telephone) with athletic staff, visiting teams, and fans. Ability to maintain confidentiality. Fine finger movement is required for typing, data entry, and filing, as well as, reaching and grasping. Working Conditions
The work is on campus primarily at a desk, with occasional walking outdoors in varied weather conditions to get from building to building. Work will be primarily during college business hours, with an occasional evening or weekend possible. All requirements are subject to change over time, with possible modifications made to reasonably accommodate individuals with a disability. The position works 100% in person.
