Job Description
We are seeking a highly organized and proactive Executive Assistant to support our Founders. The person will work closely with the founders and shall provide executive support in a one-to-one working relationship. The person will act as the nodal point of contact for internal and external constituencies on all matters about the cofounder. The Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven, and community-oriented.
The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. He/She must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Responsibilities
- Acting as a liaison between the Founder and internal/external stakeholders, including clients, partners, and team members.
- Analyse and research market trends, and create presentations, and reports.
- Work as point-of-contact with customers.
- Build and maintain strong relationships with clients, addressing their needs and concerns proactively.
- Oversee and coordinate multiple projects simultaneously, ensuring that deadlines are met and objectives are achieved.
- Creating and maintaining dashboards to track key performance indicators and other relevant metrics.
- Draft necessary communication for newsletters, and client responses.
- Prepare and proofread documents, reports, and presentations as needed.
- Prepare meeting agendas, attend meetings, take minutes, and follow up on action items as directed by the Founder.
- Gather, compile, and analyze data for reports and presentations.
- Maintain confidential files and documents, exercising discretion and confidentiality.
Requirements
- Bachelor’s/PG degree in Business Administration, Management, or a related field.
- Proven experience as an Executive Assistant or similar role.
- Expert-level written and verbal communication skills.
- Strong organizational and time-management abilities.
- Proficiency in MS Office and project management tools.
- Ability to work independently and handle confidential information with discretion.
- Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, volunteers, and external partners.
- Demonstrated proactive approaches to problem-solving with strong decision-making capability.
- Highly resourceful team player, with the ability to also be extremely effective independently.
- Resourceful, responsible, and self-starting.
