Job Description

1. Main Function of the Role

The Lease Administrator will report to the Property Manager and oversee the end-to-end process of the lease lifecycle, including origination, renewal, and termination. This role ensures the effective management of lease agreements while fostering strong relationships with tenants and collaborating with internal departments such as debtors, marketing, asset management, finance, and recoveries.

2. Key Performance Areas

Lease Origination and Management:

  • Prepare offers to lease using approved templates and ensure tenant acceptance.
  • Draft and oversee the signing of lease agreements in accordance with standardized templates.
  • Refer complex or non-standard clauses to the Property Manager for resolution.
  • Maintain accurate and up-to-date lease information on the system.
  • Organize and manage physical and digital lease documentation.
  • Ensure compliance with all lease terms and conditions.

Lease Audits and Reporting:

  • Conduct periodic internal audits to verify billing accuracy.
  • Update area certificates to ensure tenant billing aligns with the latest certifications.
  • Prepare reports for the Property Manager to support strategic decision-making.

Tenant Relationship Management:

  • Act as the primary contact for all lease-related inquiries.
  • Address tenant queries related to lease renewals, terminations, and rental matters.
  • Liaise with tenants and other stakeholders to ensure lease compliance.

Revenue Optimization and Planning:

  • Assist in developing sales and leasing plans to identify prospective clients.
  • Negotiate lease terms with tenants to maximize income while adhering to business goals.
  • Support non-GLA income initiatives, including parking and advertising revenue opportunities.

Ad Hoc Responsibilities:

  • Address specific requests as required, ensuring alignment with operational goals.

3. Qualifications and Experience

  • Minimum of Grade 12 qualification.
  • Preferably a post-graduate qualification in Property or Finance.
  • Alternatively, 1-3 years of experience in leasing or property management.
