Job Summary
We are seeking a motivated and outgoing Administrative Assistant to join our team. The Administrative Assistant role provides essential support to the construction team by handling day-to-day office tasks, managing communications, and assisting in the coordination of construction projects. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
Responsibilities
- Answer and direct phone calls, emails, and other correspondence.
- Organize and schedule meetings and appointments for management and project teams.
- Prepare and edit documents, reports, and correspondence as needed.
- Manage office supplies inventory and place orders as necessary.
- Assist with onboarding new staff and maintaining employee records.
- Provide administrative support to project managers, site supervisors, and the construction team.
- Assist with the preparation and distribution of construction project documents (contracts, bids, permits).
- Coordinate travel arrangements, accommodations, and meetings for the project team.
- Assist in compiling reports for project status updates, budget tracking, and compliance.
- Serve as the point of contact for vendors, subcontractors, and clients, ensuring smooth communication and issue resolution.
- Track and manage incoming and outgoing invoices, receipts, and payments.
- Assist with the preparation of client proposals, contracts, and bids.
- Maintain and ensure proper documentation related to health, safety, and environmental regulations.
- Assist with the preparation and submission of required reports to local authorities or regulatory bodies.
Qualifications
- High school diploma/GED (Required)
- Associate’s degree or administrative training (Preferred)
- Excellent written and verbal communication abilities.
- Previous experience as an Administrative Assistant or in a similar position
- Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint
- Highly organized with excellent time management skills and the ability to prioritize projects
- Ability to handle multiple tasks simultaneously and work in a fast-paced environment.
- Attention to detail and problem-solving skills.
- Familiarity with construction terminology, permits, and project processes is a plus.
- Bilingual is a plus (English/Spanish)
